Service Specialists recruiting agency is seeking an Office Administrator for a fast-growing industrial scrap metal service facility. This individual is responsible for overseeing daily office operations, ensuring smooth and efficient workflow, and providing administrative support to the team. This position requires a strong background in accounting, experience with QuickBooks, and an understanding of the brokerage and trucking industries. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment. *Work hours are around 7:00am - 3:00pm.


Key Responsibilities:

  • Accounting & Bookkeeping:
  • Manage financial transactions and accounts, including accounts payable and receivable.
  • Maintain accurate financial records using QuickBooks.
  • Reconcile accounts, manage invoices, and track payments.
  • Prepare financial reports and assist with budgeting and forecasting.
  • Office Administration:
  • Handle day-to-day office duties, including answering phones, emails, and scheduling.
  • Maintain and organize office files, both physical and digital.
  • Coordinate communication between departments and customers.
  • Order and maintain office supplies and equipment.
  • Brokerage & Trucking Coordination:
  • Assist in managing brokerage operations and customer interactions.
  • Coordinate with trucking companies and vendors for shipments and deliveries.
  • Ensure timely and accurate processing of transportation paperwork and permits.
  • Monitor and track shipping schedules and deliveries to ensure efficiency.
  • Customer Service:
  • Provide excellent customer service by handling inquiries and resolving issues promptly.
  • Assist customers with account management and provide support for billing questions.
  • Work with the sales team to ensure client satisfaction and maintain strong business relationships.


Qualifications:

  • Proven experience as an Office Administrator or similar role, ideally within an industrial or scrap metal service facility.
  • Strong background in accounting with hands-on experience in QuickBooks.
  • Knowledge of brokerage operations and the trucking business.
  • Excellent organizational and multitasking skills.
  • Attention to detail and accuracy in financial record-keeping.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).


*Work hours are around 7:00am - 3:00pm.

Salary : $75,000 - $85,000
