Job Summary
The Office Administrator plays a crucial role in ensuring the smooth operation of our office environment and supporting executive leadership. This position is responsible for a variety of administrative and clerical tasks that support the overall efficiency of the organization. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to manage multiple priorities/tasks effectively. This role is responsible for supporting managers, non-management and will directly report to the Chief Manager.
Duties
- Oversee daily office operations, ensuring that all administrative tasks are completed efficiently and accurately.
- Manage filing systems and maintain organized records for easy retrieval of information.
- Update, file and maintain business licenses, and records.
- Assist in budgeting processes by tracking expenses, preparing financial reports and managing credit card reconciliations.
- Conduct safety orientations and monitor safety practices for on-site employees.
- Handle human resources functions such as onboarding, employee records management, process time sheets, process payroll and compliance with company policies.
- Maintain, manage and organize office supplies, inventory and vendor/customer relationships.

- Serve as the primary point of contact for internal and external communications. Answering the phone, responding to emails and directing calls appropriately.
- Coordinate the routing of project paperwork to the Chief Manager for processing.
- Maintain confidentiality and handle sensitive information with discretion.
Skills
- Proficient in clerical duties with a strong emphasis on organizational skills.
- Knowledge of budgeting principles and financial reporting.
- Strong administrative skills with proficiency in Job Power and excel.
- Excellent communication skills, both written and verbal, to facilitate effective interactions within the team and with clients.
