The Office Manager will possess strong supervisor skills to oversee daily operations of the clinic including, scheduling, reception and administrative support. ESSENTIAL DUTIES & RESPONSIBILITIES:
- Supervision of all front desk staff and medical schedulers including full time, part time and volunteer staff.
- Oversee schedule of all provider and support staff.
- Approve timesheets of all Medical Schedulers; approve time off requests for Medical Schedulers
- Ensure that all authorizations are completed
- Track No Shows and coordinate outreach efforts.
- Respond to requests for Medical Records and Requests for Information
- Ensure Corporate Compliance standards are adhered to including ensuring that Privacy Act Notices and HIPPA notices are completed and properly filed
- Ensure clinic records and related materials are accurately filed
- Cover front desk/scheduling responsibilities during staff absences which may require flexibility in work schedule
- Manage MetroCard’s: ordering, storage, distribution and reconciliation.
- Order all program and office supplies; manage clinic petty cash and other routine expenditures.
- Provide Recovery Center Maintenance Staff with instructions and guidance. Report repair needs to Central Maintenance
- Report and track any Office Equipment repair needs
- Manage patient Co Payment tracking
- Manage provider Credentialing
- Troubleshoot consumer Entitlements problems as related to Medicaid Eligibility
- Review monthly encounter data to determine readiness for review by Quality Assurance (QA) and for submission to SUS third party billing vendor;
- Facilitate communication between Billing Specialist in Finance Department and Providers to correct any coding issues in EHR identified in Issue Tracker and/or Denials
- Provide reports to the Clinic Director, Clinic Supervisor, and Vice President about clinic services, kept appointments, productivity, etc.
- Develop expertise in the Electronic Health Record (EHR) to provide training and support to providers and medical schedulers.
- Responds to consumer needs promptly, accurately and with courtesy and respect
- Represents the organization in a positive and appropriate manner to outside resources
- Supports the mission and values
- High School Diploma or equivalent
- A minimum of three years’ experience in an administrative setting
PREFERRED QUALIFICATIONS & SKILLS
- College or continuing education preferred
- Bilingual English/Spanish speaking preferred
- Some knowledge/experience working in the social service or related field is preferred
- Computer literate in Microsoft suite, skill sets in Word, Excel, and Outlook
