DUTIES AND RESPONSIBILITIES
The Temporary Receptionist position is responsible for operating a multiline telephone system to answer incoming calls and direct callers to appropriate personnel or department. The position also involves greeting on-site visitors as their first point of contact and handling various administrative duties as needed.
Availability: 1-2 Months
The incumbent will:
- Answer incoming telephone calls, determine purpose of call and forward calls to appropriate personnel or department
- Retrieve messages from voice mail and forward to appropriate personnel
- Take and deliver messages or transfer calls to voice mail when appropriate personnel are unavailable
- Answer questions about organization and provide callers with address, directions and other information
- Welcome on-site visitors, determine nature of business and announce visitors to appropriate personnel
- Monitor visitor access
- Function as a notary public as needed
- Prepare set up for monthly board meetings
- Receive, sort and route mail to appropriate personnel or department
- Meter mail and deliver to post office as needed
- Order beverages, make coffee and check cleanliness of conference rooms
- Perform other clerical duties as needed, such as filing, faxing, photocopying and collating

MINIMUM QUALIFICATIONS
- High school diploma or equivalent
- One (1) year of experience working with customers
- Ability to follow instructions
- Experience working in a fast-paced environment with frequent interruptions
- Excellent verbal communication skills
PHYSICAL REQUIREMENTS AND ENVIRONMENTAL CONDITIONS
The physical requirements and environmental conditions of this position consist primarily of:
- Sustained standing and sitting
- Frequent use of PC, including typing or sustained attention to monitor
- Occasional lifting of basic office files or equipment up to 20 lbs
- Normal office environment with comfortable internal temperatures and low level noise
