Your detailed Receptionist/Office Administrator responsibilities include:
Administrative Support
- Organize and maintain office files (both digital and hard copy).
- Schedule meetings and manage calendars for executives or team members.
- Coordinate communication across teams, including answering phones, responding to emails, and managing office correspondence.
- Provide general information to callers, as needed, and help with inquiries or requests.
- Prepare reports, presentations, and documents as needed.
- Oversee office supplies: Track inventory and ensure that the office is well-stocked with essential items like paper, pens, and kitchen supplies.
- Coordinate with property management for any building maintenance or facility-related issues, ensuring that repairs and upkeep are addressed promptly.
- Liaise with other departments: Coordinate with different teams (e.g., HR, finance, payroll) to ensure smooth day-to-day operations.
- Manage office schedules: Organize internal events, meetings, or conferences, and coordinate logistics (e.g., travel arrangements, catering).
- Serve as the office point of contact for creating FedEx labels and coordinating shipments.
- Schedule mail pickups with couriers, ensuring timely dispatch of outgoing mail and packages.
- Drop off outgoing mail at the post office, ensuring proper handling and delivery.
- Track shipments to ensure timely arrival and resolve any shipping issues as needed.
- Track and maintain records of employee licenses, certifications, and training requirements.
- Schedule employees for required training or certification renewal classes to ensure compliance with industry standards and regulations.
- Maintain records for all company vehicles, ensuring that registration, insurance, and DMV records are up to date.
- Track vehicle maintenance schedules, ensuring timely servicing, inspections, and repairs to keep the fleet in optimal condition.
- Create personalized birthday cards for staff and colleagues to celebrate milestones.
- Organize employee appreciation activities (e.g., birthday celebrations, or special events).
- Any additional assigned task.
- Self-starter & proactive.
- Excellent written & verbal communication skills
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
- Customer service oriented with a proactive, “can do”, positive attitude
- Comfortable working with ambiguity.
- Honest & transparent: never hide the bad news, when something goes wrong, or mistakes happen you escalate it and help to solve it calmly and transparently
- Not afraid to jump-in where needed - no task is too big or too small for you, and you are willing to help your team before you are asked.
- Must be able to work in person at our Encino office 5 days per week and able to travel to job sites as needed
- You are authorized to work lawfully in the United States.
- Bilingual in English and Spanish is preferred.
