SERVPRO of Northeast and Southwest Wichita is looking for a new member to join our team. We are looking for a detail oriented tech savy office coordinator who can coordinate multiple jobs sites from their desk. This position is responsible for getting permission from our clients to move forward on different aspects of projects, evaluating job documentation to ensure it is correctly documented and uploading those documents to the pertinent person. This person must have great customer service skills and solid reading and writing skills.

This position is called Job File Coordinator internally. This is an 8 : 00 am to 5 : 00 pm hourly role with overtime available. A lunch half hour to hour is provided during the day and some benefits are offered as well. We are a locally owned and operated franchise so one advantage is we are very flexible with our employees. When things happen with children, at home or whatever else we say just go ahead and take care of it.

Job Description :

Perform all job file coordinator tasks related to customer calls, job monitoring, tracking, coordination, and audits of jobs. Create preliminary estimates and job file backup. Perform general office duties, such as drafting correspondence, filing, and creating reports.

Responsibilities :

  • Monitor schedule, update it and confirm task completion
  • Monitor job file status and job file audit status
  • Maintain job files
  • Monitor and ensure client requirements are followed
  • Review and validate initial field documentation
  • Create preliminary estimate
  • Daily job file coordination, including preparing job file reports, performing job file backup, and completing job file audit process
  • Maintain internal and external communications
  • Complete and review job file documentation for final upload and the audit process
  • Perform job close-out
  • Qualifications :

  • 2 year(s) of administrative or office-related experience and business experience
  • Experience in the commercial cleaning and restoration or insurance / service industry is desired
  • Experience Working with insurance companies is desired
  • Experience with writing estimates, job file processes, and quality assurance, a plus
  • Outstanding written and verbal communication skills, including proper pronunciation and grammar, and a consistently courteous and professional tone of voice at all times
  • Ability to remain calm and professional during tense or stressful situations
  • Excellent organizational skills and strong attention to detail
  • Very self-motivated and goal-oriented
  • Capability to work in a fast-paced, team-oriented office environment
  • Proficiency in Microsoft Office (i.e. Outlook, Word, Excel)
  • Ability to learn new software, including Xactimate and proprietary software
  • Minimum of HSD / GED, Associates / bachelor’s degree preferred
  • Ability to successfully complete a background check subject to applicable law
  • Formal Education

    High School Diploma

    Associate degree in accounting preferred or a strong professional background of 2-3 bookkeeping experience

    Normal working hours

    This is a full time position 8 : 00 am – 5 : 00pm Monday through Friday. Occasional overtime maybe necessary during large storm events.

    Pay commensurate with experience.
