General Description
The Assistant Director of Advancement is a member of a collaborative team that assures that the Advancement Office is driven toward the overall vision and mission of the school. The role is multifaceted, requiring a blend of organizational, communication, marketing, fundraising, and strategic skills.

Essential Job Functions
- Assist in the development of fundraising strategies, campaigns, and annual giving programs.
- Help set fundraising goals and monitor progress toward achieving such goals.
- Conduct research on potential donors, foundations, and grant opportunities.
- Generating reports and providing data analysis for all fundraising campaigns and events using the Microsoft Office Suite and Raiser’s Edge.
- Importing and exporting data between various software products.
- Maintain and update donor records and manage donor relationships.
- Assist in building and cultivating strong relationships with current and prospective donors.
- Acknowledge and recognize donor contributions, ensuring timely follow-ups.
- Coordinate donor events and engagement activities to strengthen relationships.
- Prepare and generate monthly financial reports for the Advancement Department, ensuring accuracy and addressing any discrepancies or incorrect entries.
- Help plan and execute fundraising events, including galas, auctions, and donor appreciation events.
- Coordinate logistics, such as venue selection, catering, and invitations.
- Work with vendors, volunteers, and staff to ensure successful event execution.
- Support the promotion and marketing of events to attract attendees and sponsors.
- Draft and send fundraising communications, such as newsletters, direct mail, and emails.
- Support the creation of fundraising materials (brochures, presentations, etc.).
- Assist with social media and digital marketing campaigns to promote fundraising efforts.
- Cultivate new donor relationships through outreach and engagement initiatives.
- Other duties as assigned by the Principal and/or Advancement Director.
Knowledge, Skills, and Abilities
- Maintain accurate records of donations, pledges, and interactions with donors.
- Analyze fundraising data to identify trends, opportunities, and areas for improvement.
- Provide regular updates and reports to leadership on fundraising performance.
- Work closely with the fundraising team and other departments to align efforts with organizational goals.
- Support the Director in managing volunteers, interns, and other staff who may assist with fundraising activities.
- Attend meetings and collaborate with external stakeholders, such as corporate partners and board members, to further the fundraising mission.
- Assist with managing the budget for fundraising campaigns and events.
- Ensure that fundraising efforts stay within budget while maximizing returns.
- Track and report on fundraising expenditures to ensure proper financial oversight.
- Help develop stewardship programs to thank and recognize donors for their support.
- Organize donor recognition activities, such as thank-you notes, plaques, and recognition in event materials.
- Foster long-term relationships by providing updates on how donations are being used to support the organization’s mission.
- Generating any reports requested by the Finance Department (i.e. audit reports, capital campaign pledge status reports) and ensure balance of funds between the departments.
Minimum Qualifications
- Bachelor's degree preferred
- Minimum of two years of employment experience in major gifts, campaigns, or planned giving for non-profit organizations.
- Excellent interpersonal, oral, and written communication skills.
- Proven project management skills.
- Highly self-directed with an attention to detail and ability to organize effectively.
