The Frank Lloyd Wright Foundation seeks a highly organized and proactive Senior Executive & Advancement Assistant to provide exceptional administrative support to the CEO and Vice President of Advancement. This critical role requires professionalism, discretion, and a commitment to excellence while working closely with the Board of Trustees and Foundation staff. Essential Functions:
Executive Support (CEO)
- Act as the primary point of contact for the CEO, managing scheduling, meetings, and correspondence with internal and external stakeholders.
- Maintain and coordinate the CEO’s business calendar, ensuring efficient time management.
- Prepare and process payment requests, department forms, and expense reports.
- Track and organize CEO travel expenses for reporting to the Finance Department.
- Document and maintain CEO’s donor and prospect contact records in donor database.
- Provide administrative support for Foundation-wide contract and vendor management.
Board Liaison
- Coordinate meetings for the CEO, Board of Trustees, and Board Committees, including drafting agendas, resolutions, and meeting notices.
- Assemble and distribute Board materials; attend Board meetings and transcribe minutes.
- Organize meeting logistics, including venue arrangements and catering.
- Maintain accurate electronic and paper records of Board documents.
- Disseminate important information to Board members and staff as needed.
Advancement Team Support
- Provide direct administrative support to the Vice President of Advancement, managing scheduling, meetings, and correspondence with internal and external stakeholders, and assist in preparing donor reports, presentations, and outreach materials.
- Support Advancement-related meetings, donor events, donor stewardship, and fundraising activities.
- Enter and process incoming gifts and pledges into the donor database, ensuring data accuracy and compliance with established procedures.
- Generate and distribute personalized acknowledgment letters and receipts to donors in a timely manner, adhering to established stewardship guidelines and ensuring appropriate recognition.
Additional Responsibilities
- Represent the Foundation with professionalism, confidentiality, and discretion.
- Handle additional duties and projects as assigned to support organizational goals.

This position is full time with a salary of $65,000/year (commensurate with experience) and comprehensive benefits including a paid time-off package. The Foundation pays up to 90% of monthly health-care premiums and enrolls all regular full-time employees into our life insurance, and short and long-term disability policies at no cost to employees.
Requirements
- Bachelor’s degree in business, administration, communications, or a related field.
- Minimum of three years of experience in executive support, including working with a Board of Trustees/Directors.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), email management, and internet research.
- Proficiency in donor management or CRM software (preferably Salesforce).
- Strong written and verbal communication skills with high attention to detail.
- Ability to manage multiple priorities, meet deadlines, and work independently with minimal supervision.
- Strong judgment, discretion, and problem-solving skills in handling confidential matters.
- Familiarity with nonprofit governance, fundraising, and donor relations.
- Ability to work in a dynamic, fast-paced environment and adapt to changing priorities.
