What are the responsibilities and job description for the Administrative Assistant III position at Seventh Sense Consulting, LLC?
In anticipation of a contract award, we're seeking an Executive Administrative Assistant with a calm, strong personality to support a Director and Deputy Director. The candidate should demonstrate organization skills, the ability to work in a fast-paced environment, the ability to appropriately self-direct, be detail-oriented, present a professional demeanor and appearance, be able to hold information confidentially, and be a self-learner with the ability and desire to learn new skills independently.
Responsibilities:
- Provide day-to-day administrative support to the Director and Deputy Director of the Office of Administrative Services (OAS) for office operations and internal and external communications.
- Manage the Director and Deputy Director calendar by setting up meetings/calls as appropriate and preparing daily schedules for the director’s reference.
- Checks calendar throughout the day to identify appointment conflicts and cancelations and consults the director to determine priority and scheduling flexibility.
- Prepare materials for weekly recurring meetings which include developing agendas and ensuring that the director is prepared for meetings.
- Use office software applications such as Outlook’s e-mail and electronic calendar, Excel, Access, PowerPoint, Adobe, etc. Scans documents in hard copy format into an appropriate electronic format (e.g., PDF or WORD) for transmission and word processing.
- Coordinate internal and external communications among agency and department organizations, other federal agencies, and the general public.
- Support making domestic and international travel arrangements for the organization's employees. Prepare and track domestic and international travel requests, authorizations, and vouchers in Concur. Ensure compliance with Federal Travel Regulations and agency travel policy.
- Establish, organize, and maintain paper and electronic files.
- Receive, review, draft, and edit correspondence.
- Collect and consolidate information for reporting from Division Chiefs/Branch Managers to be submitted to the Office of the Chief Administrative Officer (OCAO) senior leadership.
- Serve as timekeeper for OAS as needed.
Must Haves:
- High school diploma, GED or equivalent
- 5-years of previous office administrative and scheduler experience
- Expert capabilities in scheduling and usage of Scheduling Assistant in MS Outlook and Teams Proficiency,
- Experience with Concur (government travel system),
- Organization,
- Reporting skills,
- Verbal communication,

- Written communications,
- Knowledgeable user of Microsoft OneDrive and SharePoint,
- Other Microsoft Office 365 skills,
