Job Overview:
The Reservation Agent assists guests with booking and confirming reservations while providing courteous, attentive, and efficient service to all guests and callers.
DUTIES AND RESPONSIBILITIES
- Maintain a comprehensive understanding and adhere to all departmental policies, service procedures, and standards.
- Always foster positive relations with guests.
- Address and resolve guest complaints to ensure satisfaction.
- Utilize all functions of the computer system effectively.
- Maintain complete knowledge of the following:
- Seat numbers, venue room capacity, hours of operation, and availability.
- Any special events or promotions occurring in the various venues and restaurants.
- Process all food and beverage reservation requests, changes, and cancellations received via phone, email, internal channels, or through corporate reservation centers or travel agencies.
- Identify callers’ needs by asking open-ended questions.
- Document any special information or occasions (such as birthdays or anniversaries) in the reservation system.
- Gather all necessary information to book a reservation.
- Accommodate special requests and indicate them in the system.
- Access and update guest history records to provide the best possible service; maintain accurate information in guest history files.
- Verify availability and suggest alternate dates for fully booked dates.
- Explain guarantee and cancellation policies to callers, assigning confirmation or cancellation numbers and informing the caller accordingly.
- Confirm all reservation details with the caller to ensure accuracy.
- Enter correct information into the appropriate fields to inform other departments of relevant details (e.g., flags, comments, guest messages).
- Monitor and maintain waitlists daily.
- Monitor and uphold the cleanliness and organization of assigned work areas.
PHYSICAL ABILITIES
- Ability to lift up to 25 pounds
- Ability to move safely in uneven terrain or in confined spaces.
- Ability to see and respond to dangerous situations.
- Ability to remain in stationary position for 8 hours or more.
- Satisfactorily communicate with guests, management and co-workers to their understanding
