Role and Responsibilities: The Accounting Executive Administrator serves the general accounting department in various administrative and clerical capacities as needed. The assistant reconciles various accounts, serves as backup for the daily distribution of checks produced through the company's disbursement systems, and assists with scheduling events & meetings.
Your responsibilities will include:
- Perform administrative duties for General Accounting such as travel, scheduling, handling phone calls and correspondence, and coordinating meetings & department events. This includes support for the CFO, Controller, Directors, Managers, and Supervisors in accounting.
- Reconcile and perform general bookkeeping of select ledger accounts, including follow-up of suspense accounts and accounts receivable/payable.
- Enter Northern Trust (multiple accounts) wires.
- Maintain departmental files, both paper and electronic, for the Vice President. Examples include Regions Bank and Northern Trust Bank wire confirmations, as well as variable fund confirmations and statements.
- Distribute mail to accounting employees and maintain office supplies for the department.
- Submit invoices for other departments as needed, including Facility Management.
- Perform monthly variable trade journal entries and calculate cash transfers between Regions accounts.
- Prepare drafts of routine letters, memos and reports for use by the Vice President and General Accounting managers, which can be reviewed, edited or revised.
- Process departmental financial or tax filings as needed, including backup of bi-weekly tax withholding.
Qualifications:
- Associate degree in a business-related field or minimum 3 years comparable administrative/accounting support experience
- Strong interpersonal skills.
- Proficient in Microsoft Word and Excel
- Strong oral and written communication skills
- Good analytical skills
- Ability to perform math calculations and basic accounting
