Key Responsibilities :
- Client Interaction and Communication :
- Make professional calls and send well-crafted email messages to clients and service providers.
- Follow up with clients to ensure timely completion of tasks and coordinate annual filings.
- Administrative and Operational Support :
- Manage the office calendar for client visits (both in-person and online).
- Keep the office organized, including ordering supplies as needed.
- Coordinate with office service providers related to office supplies, HVAC, and office equipment (e.g., copiers, printers, laptops).
- Prepare and manage spreadsheets, PowerPoint presentations, and email drafts.
- Organize and prioritize task lists to ensure all tasks are completed on schedule.
- Coordinate with external service providers for corporation setups and annual filings.
- Collaborate with team members working remotely to ensure smooth operations and task management.
- Program Management :
- Manage the internship program by engaging with high school and college students, organizing their schedules, overseeing the program, providing mentorship, and coordinating internship opportunities.
- Technical and Analytical Tasks :
- File sales tax returns accurately.
- Process payroll through ADP and Intuit.
- Address basic tax-related client questions (training provided).
- Technology and AI Tools :
- Use Office 365 tools (Excel, Word, PowerPoint, Teams) efficiently.
- Leverage AI-powered tools like ChatGPT for enhanced communication, research, and process optimization.
- Utilize AI-driven tools to assist with workflow improvements and client interaction.
