Administrative Office and Inventory Coordinator

Overview:

Shaka Kai is seeking a dynamic and detail-oriented Administrative Office and Inventory Coordinator to join our vibrant team in Miami (Medley) Florida. This dual-role position requires a highly organized individual who can seamlessly manage office administration while ensuring efficient warehouse operations. Strong customer service skills are essential, as you will interact with our valued customers, vendors, and internal teams. Responsibilities:

Office Administration:

  1. Provide exceptional customer service by assisting customers with inquiries via phone, email, and in-person visits.
  2. Manage incoming and outgoing correspondence, including emails, phone calls, and letters.
  3. Coordinate and schedule appointments, meetings, and events, ensuring smooth logistics.
  4. Maintain and update customer databases, ensuring accuracy and confidentiality of information.
  5. Assist in the organization and execution of marketing and promotional events, such as festivals, expos, fashion shows, wholesale account events, and product launches.
  6. Prepare and distribute reports, presentations, and sales data as needed.
  7. Collaborate with the sales and marketing teams to support their initiatives and projects.
  8. Handle general administrative tasks such as filing, scanning, and data entry.
  9. Ensure the office is stocked with necessary supplies and place orders when needed.
  10. Maintain confidentiality of sensitive information and adhere to company policies and procedures.

Fulfillment & Inventory Coordination:

  1. Oversee inventory management, including receiving, organizing, tracking, and barcoding merchandise.
  2. Process and fulfill customer and wholesale orders efficiently and accurately.
  3. Maintain a well-organized warehouse space to optimize productivity and inventory accessibility.
  4. Monitor stock levels and coordinate restocking efforts with suppliers as needed.
  5. Assist in quality control checks to ensure all merchandise meets company standards.
  6. Prepare shipping labels, coordinate logistics, and track shipments to ensure timely delivery.
  7. Conduct regular inventory audits to reconcile discrepancies and improve accuracy.
  8. Work closely with the sales team to communicate stock availability and anticipated restocks.
  9. Maintain compliance with safety and organizational procedures in the warehouse.


Requirements:

Proven experience in administrative roles and/or warehouse operations, preferably in a retail or clothing company environment.

  1. Strong customer service skills with a friendly and approachable attitude.
  2. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn new software systems quickly.
  3. Excellent organizational and time management skills with a keen attention to detail.
  4. Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  5. Strong written and verbal communication skills.
  6. High school diploma required; associate's or bachelor's degree preferred.
  7. Experience with inventory management systems and shipping logistics is a plus.
  8. Knowledge of fashion industry trends and terminology is a plus.
  9. Ability to lift and move merchandise as needed for warehouse tasks.
