Position Summary:
We are seeking a detail-oriented, highly organized Business Office Support / Transportation Secretary to provide clerical and administrative support within the Business Office, with a focus on managing student transportation logistics. This position plays a critical role in the daily operations of the school district by ensuring accuracy in transportation coordination, data management, financial documentation, and supporting payroll and purchasing activities. This role reports directly to the Director of Finance & Operations and works collaboratively as part of the Business Support Team.
Key Responsibilities:
Manage clerical tasks including data entry, filing, responding to inquiries, and processing mail and reports.
Coordinate all aspects of student transportation for public, non-public, and special needs students.
Maintain and update student databases and transportation records.
Create and adjust bus routes and schedules, and coordinate with principals, the athletic director, and transportation providers.
Verify and process transportation invoices and support budget preparation and financial reporting.
Assist in state and federal reporting, including PA Department of Education, AIU, and Act 80 requirements.
Support purchasing processes including bid coordination, vendor data entry, and purchase order generation.
Assist with payroll, fringe benefits, and the processing of handwritten checks.
Collaborate with the Accounts Payable Specialist and provide cross-functional support as needed.
Qualifications:
High school diploma or equivalent required; Associate's degree preferred, but not required.
Minimum of three years of relevant experience in customer service or clerical support role.
Strong computer skills, including word processing and database management.
Excellent organizational, communication, and interpersonal skills.
Ability to work independently and as part of a collaborative team.
