About the Job
The Accounts Payable Specialist is responsible for managing the organization's accounts payable process, ensuring timely and accurate processing of invoices, compliance with internal policies, and efficient vendor payments. This full-time role works closely with the finance team and other departments to maintain financial accuracy and compliance.
You’ll wow us by masterfully performing the following key duties and responsibilities:
- Process and verify invoices and credit card transactions, ensuring proper approvals, coding, and adherence to organizational policies.
- Prepare and process vendor payments via ACH, check or other approved payment methods.
- Maintain accurate vendor records in Financial Edge, including W-9s and payment terms.
- Reconcile AP transactions and vendor statements; investigate and resolve discrepancies.
- Generate outstanding invoice and aging reports.
- Ensure timely and accurate 1099 reporting.
- Monitor the accounts payable email inbox to process invoices and respond to inquiries.
- Manage and reconcile postage and bulk mailing accounts.
- Review and verify employee reimbursements.
- Assist with audits and year-end reporting.
- Identify and implement process improvements for efficiency.
- Perform other duties as assigned by management.

Requirements:Competency
- Associate’s degree in accounting (or higher) or equivalent experience required.
- 2 years of accounts payable or related experience (nonprofit experience a plus).
- Proficiency in accounting software and Microsoft Excel.
- Strong attention to detail, organization, and problem-solving skills.
- Ability to work independently and collaboratively.
