About the Job
The position of Intake Coordinator will administer intake for Jewish Family Service (JFS), ensuring that clients are connected to the areas of service appropriate for their needs. This role includes managing the agency’s wait list across services, in addition to offering appropriate and up to date referrals to a range of demographic and service needs. This position is often the first JFS staff member clients speak with at JFS. This role will ensure that all clients are provided with compassionate care during times of crisis. This position will also support the organization in general administrative tasks related to specific programs assigned and will serve on the administrative team, strengthening and streamlining all processes.
You’ll wow us by masterfully performing the following key duties and responsibilities :
Essential functions
Intake and Referral – Handles intake operations for JFS counseling and case management services, including wait list management and consistent communication with prospective clients. Provides additional social services to clients as needed, such as service linkage, referral, and collaboration with other providers. Creates, updates, reviews, and trains staff on waitlist and intake standard operating procedures (SOPs) to ensure consistency and efficiency in processes.
Manages agency’s referral network by maintaining working knowledge of and regular contact with current resources in the Greater Austin area including mental health agencies that accept insurance and / or have a sliding scale for their fees. Communicates with referrals often to ensure clients will receive services in a timely manner.
Collaboration – Interfaces with JFS Staff for the purpose of collaborative service delivery. Partners with all Shalom Austin staff to serve the needs of clients and community. Attends mandatory staff meetings, trainings, and offers coverage when needed.
Documentation and Record Keeping – Maintains professional and timely documentation of services in electronic medical record including, but not limited to intake notes, referrals, and other forms or documents which may be needed or required from time-to-time. Adheres to the rules regarding confidentiality of HIPAA protected health information. Assists with the identification and reporting of potential quality management. Tracks and uses program-related data to enhance service effectiveness.
As part of the administrative team, responsible for a variety of administrative tasks related to the front desk, including answering and directing calls and checking in clients at the entrance. Ensures a welcoming and supportive environment for clients by greeting them warmly, via phone, email, or at the door, and assisting with any needs or questions.
Assist clients and colleagues whenever possible and contribute ideas for improving office procedures to maximize customer service.
Assists in budget management for all administrative budget needs under the role’s scope, including check requests, ordering and receipt submission.
Requirements :
Bachelor’s degree from 4-year college or university, or equivalent work experience.
Experience with intake screening and assessment.
Strong customer service, communication, and time management skills.
Ability to perform intermediate computer skills, including ability to learn new software and familiarity with Office 365 apps for managing workflows and collaboration.
Proficient data entry in an electronic medical records database.
Comfort working both independently and with a multi-disciplinary team.
Ability to maintain confidentiality and adhere to ethical guidelines.
Preferred education and experience
Associate or bachelor’s degree
Up-to-date knowledge of Greater Austin community resources
Cultural competence with Judaism or Jewish culture
