POSITION SUMMARY: The PSR plays a pivotal role as the patient’s primary point of contact, responsible for delivering exceptional customer service to patients and visitors. The core duties involve managing reception, scheduling appointments, accurately inputting data into billing systems, and ensuring compliance with administrative requirements. This role requires efficient handling of patient financial arrangements, addressing inquiries, and maintaining meticulous records. Additionally, the PSR assists in financial counseling by aiding in sliding fee scale applications, verifying insurance eligibility, and updating patient records.
Essential Duties:
Front Desk
1. Greet patients and visitors at reception area and offer appropriate assistance.
2. Check in patients by verifying patient demographics and registration forms are correct.
3. Confirm patient’s financial arrangements and ensure required documentation is in patient’s chart.
4. Interpret insurance verification and update insurance, as needed.
5. Ensure sliding fee discount information is accurately calculated and entered into the system.
6. Ensure that all program forms are completed.
7. Collect copayments, prepayments, and balance payments; enter information into billing software.
8. Be sensitive to patient needs and be able to deescalate challenging patient situations.
9. Answer incoming telephone calls by third ring, direct caller appropriately, and respond to all messages in a timely manner.
10. Schedule appointments or assist patients with rescheduling appointments if they arrive late or are unable to be seen. Schedule financial counseling (FC) appointment 30 minutes before medical appointments, if necessary.
11. Contact patients to confirm appointments and document results according to current practices. Follow up on no-show appointments by creating a telephone encounter to follow up with patients.
12. Create action notes for patients who don’t schedule at checkout and follow up on action notes daily.
13. Scan patient registration and other forms into eCW in a timely manner.
14. Retrieve cash box at opening, verify correct starting amount, and close cash drawer at end of day.
Financial Counseling
1. Interview new patients and families; request and obtain necessary and appropriate information.
2. Verify patient demographic information and patient insurance eligibility; update EMR system, as needed.
3. Complete presumptive eligibility for patients eligible to apply. Enter presumptive eligibility Sliding Fee Scale into EMR.
4. Confirm patient’s financial arrangements and correctly interpret insurance verification.
Education and Qualification Requirements:
- High school diploma or equivalent
- Six (6) months’ front office medical training, preferred
- One (1) year of front office medical experience, preferred
- Previous experience with electronic medical records (EMR), e.g., eClinicalWorks (eCW), preferred
- Bilingual – English/Spanish, preferred
