Position Title: Purchasing Manager @ Hilton Virginia Beach Oceanfront

Position Overview:
The Purchasing Manager is responsible for overseeing the procurement of food, beverages, equipment, and supplies necessary for the restaurant's daily operations. This role ensures that all purchases meet quality standards, budget constraints, and supplier agreements while maintaining strong vendor relationships and optimizing inventory management.
Job Functions:
- Procurement & Supplier Management
- Identify, evaluate, and negotiate with vendors for food, beverages, kitchen equipment, and restaurant supplies.
- Develop and maintain strong supplier relationships to secure competitive pricing and reliable delivery schedules.
- Monitor market trends, seasonal availability, and pricing fluctuations to optimize purchasing strategies.
- Ensure timely ordering and delivery to meet restaurant and banquet service demands.
- Conduct periodic vendor performance assessments and address any issues related to quality or service.
- Inventory & Cost Control
- Maintain optimal stock levels to ensure smooth restaurant and banquet operations.
- Implement cost-control strategies to minimize waste and reduce food and beverage costs.
- Conduct regular inventory audits and reconcile purchases with stock usage.
- Work closely with the Executive Chef, Food & Beverage Director, and Banquet Manager to align purchasing with menu planning and forecasted demand.
- Quality Assurance & Compliance
- Ensure all purchases meet hotel brand standards, quality expectations, and health/safety regulations.
- Stay updated on food safety guidelines, sustainability initiatives, and responsible sourcing practices.
- Collaborate with the culinary team to source high-quality, seasonal, and sustainable ingredients.
- Ensure compliance with all local, state, and federal food and beverage regulations.
- Budgeting & Financial Reporting
- Monitor and control purchasing budgets, identifying opportunities for cost savings.
- Provide daily entry & analytics in our P2P system.
- Assist in pricing strategies for menu items by analyzing ingredient costs and supplier pricing.
- Work with the finance department to manage invoices, payments, and budget adherence.
- Shipping, Receiving, & Operational Support
- Coordinate deliveries to ensure minimal disruption to kitchen and restaurant operations.
- Support the banquet and catering teams with special event purchasing and custom orders.
- Maintain detailed records of purchases, contracts, and supplier agreements.
- Ensure smooth communication between the purchasing, kitchen, and front-of-house teams.
- Receive all products ordered with detail check.
- Order, pick-up, and receive all ABC liquor orders in compliance with all ABC laws.
Qualifications
Qualifications & Skills
- General Education High School GED Required
- Highly organized and the ability to lift up to 50lbs unsupported and more with aids.
- Bachelor’s degree in Supply Chain Management, Hospitality Management, Business Administration, or a related field (preferred).
- Able to communicate in English verbal and written.
- Proven experience in purchasing, procurement, or supply chain management within the hospitality industry.
- Strong negotiation, vendor management, and relationship-building skills.
- Strong financial acumen and cost-control expertise
- Knowledge of food and beverage quality standards, sustainability, and industry best practices.
- Experience with inventory management and procurement software.
- Ability to work well under pressure in a fast-paced environment.
- Attention to detail and a passion for delivering exceptional service.
- Flexibility to work evenings, weekends, and holidays as needed.
