Job Purpose: Responsible for all day-to-day catering and event services for internal club events. Support the events department in administrative duties and planning club events. Work with the banquets team and other departments to ensure that the member and guest experience is exceeded and that the highest quality of food and service are delivered.
Job Summary (Essential Functions):
Collaborate with the Director of Events on the following:
- Primary contact for all internal events. (Ladies & Men Golf tournaments, tennis, bridge and swim) from booking to billing.
- Primary contact and driver for all club social events. Create P&L’s, book vendors, and manage budget.
- Create and Manage Club events calendar and budget.
- Introduce new events to the club that will elevate the member experience and drive attendance.
- Enhance annual club events to provide magic moments and memorable experiences.
- Creates and completes banquet event orders (BEO’s).
- Create floor plans for events in social tables.
- Works with the Executive Chef to determine selling prices, menus, and other details for catered events.
- Schedule appropriate vendors based on event needs (AV, Rentals, Valet)
- Confirm and finalize all event details with members and/or internal teams members.
- Inspects finished arrangements; may be present to oversee the actual greeting and serving of guests.
- Input food and beverage consumption after event completion.
- Manages banquet billing and arranges prompt payment for all events.
- Perform general office work such as word processing and filing.
- Works on special projects as assigned.
- Maintain current up to date catering materials (menus and templates) as needed.
- Work on marketing material for catering department.
- Review BEO’s daily and maintain BEO book, distribute BEOs and send updates to all departments involved.
- Meet with other department managers to plan food and beverage aspects of special events organized by staff members.
- Participate in weekly BEO meetings with food and beverage team to review upcoming events.

Knowledge, Skills, Abilities: Proven leadership abilities. Excellent written and verbal communication and interpersonal skills. Detail-oriented. Extremely responsible and reliable with a professional presentation. Show both initiative and independence in carrying out job responsibilities, while acting as a cooperative team member.
Experience: MS Office proficiency, Adobe Photo Shop, or Illustrator, able to learn a new database quickly. 3-5 years of experience coordinating and executing events.
Work Schedule and Hours: Regular scheduled hours but must be flexible if needed for occasional work outside of normal business hours. Weekends required.
Physical Requirements and Work Environment: Must be able to lift 20 lbs., as well as sit for extended periods of time. Frequent sitting, standing, walking, lifting, bending, stooping, squatting.
Pay Rate: This is a salaried position ranging from $85,000 - $115,000 annually. Varies based on experience.
