General Job Description:
The Office Assistant works closely with the Office Manager to ensure Payroll, HR, and all other office needs are met. They are responsible for compiling employee timesheets, creating payroll spreadsheets, and entering payroll information into the payroll software. The office assistant handles onboarding and offboarding employees and maintaining employee files. They are in charge of handling employee benefits and answering basic HR questions. The office assistant also maintains our Autodesk platform which is an integral information hub for the company.
Responsibilities:
- Process employee time sheets and prepare the information for payroll
- Run payroll with oversight from the Office Manager
- Onboard and offboard employees
- Keep track of employee time-off requests and track their PTO balance
- Manage employee benefits including adding and terminating benefits for employees
- Maintain HR portal and make all necessary updates to ensure real-time accuracy
- Update employee contact list and monthly project list
- Maintain personnel files
- File office/job paperwork as needed
- Collect and file employee paperwork
- Assist with AutoDesk – including adding new job information and uploading daily activity logs
- Answer phone and greet guests/clients when front office assistant is unavailable
- Other tasks as needed
Qualifications:
- Bilingual strongly preferred (English/Spanish)
- Background in human resources preferred
- Proficient in Microsoft Office with a strong understanding of Excel
- Utilizes exceptional multi-tasking and organizational skills with excellent attention to detail and emphasis on quality
- Proven time management and follow-through skills with the ability to work on multiple tasks with tight deadlines
- Displays superior written and oral communication skills and employs effective listening skills
- Displays tactful, mature and professional demeanor with well-developed interpersonal skills
- Possess a high level of dependability, maturity, confidentiality, and courtesy
- Handles sensitive information with the utmost discretion and professionalism
