JOB SUMMARY:
Provide outstanding administrative assistance in all areas assigned within the building office. Contribute collaboratively to ensure support of building operations. Administrative support duties related to student operations, student database information maintenance including attendance and behavior management, communication with bus company, distribute medications to students, support daily functions of the office including monitoring front door security entry, visitor logs, etc. in providing services for students and staff.
JOB RESPONSIBILITIES:
1. Administrative Support to the Building Dean or Associate Principal
- Provide secretarial assistance as necessary with complete confidentiality
- Support behavior and discipline actions to include communications with parents/families/student and possible involvement of school resource officer (truancies)
- Work with building leadership to ensure hand-held radios are available for staff as appropriate
- Document bus reports as required; Work with the Dean, Associate Dean or Principal along with bus company to ensure students are safely picked up and dropped off daily. Process individual ride vouchers for appropriate students.
2. Communications Support
- Greet new students and parents/guardians after registration with appropriate information
- Welcome visitors; maintain logs
- Monitor security door access
- Monitor Primary phone operations
3. Student Systems Support
- Assist the district registrar and secretary with building level student information system data as needed
- Collect and enter attendance data; ensure absences are recorded accurately and timely; verify and report attendance as needed
- Assist with general supervision of students in the office area before, during and after school
- Maintain student locker assignments and reassignments
- Distribute and record medications and emergency contact information. Provide basic first aid (band-aids, ice packs) as needed; contact parents/guardians with health concerns (sick; pick up student, etc.)
- Support the celebration of student achievements/awards
- Missing assignments – encourage parents to communicate directly with teacher for assignments to be given to office for parent pickup
4. Safety Support
- Maintain emergency ‘go bags’ with appropriate student information, safety items, etc. per the district safety plan
- Communicate safety plans for emergency routes, maintain data of safety drills or actual emergency events.
5. Operations Support
- Assist with special events for the school for students and/or staff
- Assist with school year start up and year end activities
- Assist with office equipment failures such as copiers, printers. Partner with Technology Services for additional support
6. Other Duties Assigned
- The above items are usually those of the 10-month secretary. Each building may have some minor adjustments depending on building needs.
QUALIFICATIONS:
1. Associate’s Degree or post-secondary courses in administrative secretary support or similar (preferred); High School Diploma or equivalent (required)
2. Detailed oriented, strong interpersonal skills and organizational skills, easily able to adapt to shifting priorities
3. Experience and proficiency in data maintenance, operations, digital communications, Microsoft Office applications
4. Enjoy working in an educational environment with students, teachers, and other staff.
REQUIRED KNOWLEDGE:
- Demonstrated effective interpersonal communications
- Demonstrated understanding of and practice confidentiality
- Demonstrated knowledge of communication systems, informational databases such as student information systems (Skyward)
- Demonstrated knowledge of work and/or self-organizing systems
