Summary of Responsibilities:
The Administrative Assistant provides support to both the Shawnee Tribe Cultural Center and Tribal Administration. The Administrative Assistant will have knowledge of tribal administration and administrative operations. The position will answer and route phone calls, prioritize and schedule meetings, provide support services, report writing, data gathering and tracking, and assist with budgets required of various funding streams for both tribal and governmental funding sources.
Essential Duties and Responsibilities:
- Will provide administration of assigned program support responsibilities.
- Greet visitors as they enter and provide assistance to their needs.
- Assist with Section 106 reviews for Historic Preservation.
- Respond to calls, emails, and other communications for all assigned Tribal matters.
- Develop, maintain, and continuously evaluate to improve program policies, procedures, and processes for department.
- Work collaboratively with Tribal Administration, programs, and staff to meet administrative policy and other needs of the Shawnee Tribe.
- Prepare, monitor, and assist staff with budgets and spreadsheets as designated.
- Order, purchase, and track items for departments as required.
- Receive and distribute mail.
- Fill in as Administrative Assistant for HQ when necessary.
- Excellent verbal, written, communication and overall people skills are necessary to perform tasks related to this position.
- Travel as necessary to meet the needs and demands of the Tribe.
- May be assigned other duties and responsibilities as necessary for administration or Tribal needs.
Preferred Qualifications:
- A degree or certification in business administration or related field.
- Experience working with indigenous peoples, Native American Tribes, or Native American Communities.
- Skilled in maintaining a high level of discipline and morale throughout the Tribe.
- Ability to communicate, provide, and follow written and verbal direction.
- High levels of attention to detail and accuracy.
- Ability to manage and maintain security of confidential data and information.
- Ability to exercise independent and sound judgment.
- Ability to work flexible hours and days as necessary to meet the needs and demands of the Tribe.
Additional Requirements:
- Successfully pass pre-employment Drug Screen and adhere to a Random Drug Screen policy.
- Possess a valid Driver’s License and have proof of Liability Insurance.
- Maintain any training and credential requirements as per policy and procedure.
- Successfully pass Criminal Background Checks.
