What are the responsibilities and job description for the Administrative Assistant - County Administrator position at Sheboygan County?
Assists in the department administration by organizing and managing the day to day operations, ensuring consistent organization-wide and external communications, providing administrative support to the County Board Chairman and other County Board Supervisors, County Administrator, and Deputy County Administrator.
Coordinate appointments of members to committees, boards, and commissions by soliciting recommendations from appropriate groups, submitting information to the County Administrator, and preparing appointment documents for confirmation by the County Board.
Prepare and distribute agendas and minutes for meetings of the County Board Executive Committee, Committee Chairpersons, Heads of Local Government, and other committees as assigned.
Handle filing, document and presentation preparation, mailing, scheduling, travel logistics, purchasing supplies, and other administrative tasks for the office.
Coordinate and attend monthly department head meetings
Coordinate the County Board Leadership Forum, annual All Employee Appreciation Picnic, United Way Campaign, and the biennial County Board election reception. Organize other meetings, events, and presentations as needed.
Prepare, correlate and review annual reports.
Develop and distribute monthly employee newsletters, press releases, website content, and other communication materials.
Implement a comprehensive communications plan to support County government objectives. Collaborate with various departments to ensure consistent and accurate internal and external messaging.
Manage and maintain County-sponsored social media platforms and County website.
Provide information about Sheboygan County Government to members of the general public, the media, and representatives of other governmental units; respond to inquiries or direct them to the appropriate department.
Undertake special projects and perform research as may be requested by the County Board Chairman, County Administrator, or Deputy County Administrator.
Handle confidential documents with discretion. Maintain the confidentiality of the office.
Process credit card statements and invoices.
Perform a wide variety of miscellaneous tasks as assigned.
An associates’ degree in any field or high school diploma with a minimum of 5 years’ experience in a responsible administrative position.
Ability to comprehend and follow instructions carefully and accurately, and work independently and reliably with limited direct supervision.
Excellent attention to detail by demonstrating diligence in the accuracy of work and being mindful of the audience.
Skills in using office software including Word, Excel, and PowerPoint. Willingness to become an advanced user in Google Workspace, including Sheets, Docs , and Slides.
Experience using basic marketing and communication tools.
Outstanding written and verbal communication skills. Strong ability to interact professionally with members of the public and other government agencies.
Superior organizational skills.
Ability to demonstrate reliability, resourcefulness, initiative, and good judgement.
Ability to work effectively with a diverse population using tact and courtesy.
Work is performed primarily in a standard office setting. Ability to frequently lift up to 20 pounds, and a combination of sitting and standing postures may be required. Ability to regularly work 8-hour days and 40-hour weeks is required.
Must be able to operate standard office equipment including telephone, computer, calculator, printer, and photocopier.
Risk of blood-borne pathogen exposure is considered low.

- Reports directly to the Deputy County Administrator. No direct subordinates. Frequent contact with County Board Chairman and other County Board Supervisors, County Administrator, County department heads and employees, Corporation Counsel, local media, members of advisory committees and commissions, and the general public.
