Essential Duties
The ideal candidate will support the daily operations of the Human Resources Department by providing administrative assistance and ensuring efficient department management. Key responsibilities include, but are not limited to:
- Confidentiality & Professionalism: Handles sensitive documents and conversations with discretion while maintaining strict confidentiality in all department matters. Acts in the best interest of the County.
- Front Desk & Communication: Answers main phone lines, directs calls appropriately, and greets employees and the public in a professional and courteous manner.
- Benefits & Policy Support: Responds to inquiries regarding insurance coverage, policy interpretation, and benefit provisions. Works independently or seeks guidance from Human Resources Business Partners as needed.
- Employee Onboarding Assistance: Supports HR Business Partners in onboarding new employees, including policy and benefits orientation. Assists with completing essential HR documentation such as benefits enrollment, retirement paperwork, W-4s, I-9s, parking passes, ID badges, key FOBs, letters, employee directories, and applicant referrals.
- Records & Documentation Management: Maintains accurate employee personnel files, as well as records related to grievances, discipline, and job descriptions. Organizes and updates employee records in the payroll system.
- HR Reporting & Automation: Creates and updates reports and forms, automating processes where applicable.
- Employment Verification & Compliance: Processes verification of employment requests and coordinates background checks, pre-employment physicals, and substance testing.
- Unemployment Claims: Reviews employee claims for unemployment benefits, maintains records, and liaises with the Wisconsin Unemployment Insurance Office.
- Payroll & Benefits Administration: Inputs and maintains employee benefits data within the payroll system.
- Organizational Structure Management: Updates and maintains the department’s table of organization.
- Mail & Supplies Coordination: Sorts and distributes department mail and ensures the HR department is stocked with necessary supplies.
- Employee Recognition & Training: Assists in the development and coordination of employee recognition programs in collaboration with the HR Director. Organizes HR training events, prepares PowerPoint presentations, and tracks attendance.
- General HR Support: Provides assistance to the HR Director, HR Manager, HR Benefits Specialist, and HR Business Partners as needed.
- Other Duties: Performs additional tasks and assumes responsibilities as assigned.
Qualifications
- Education: Minimum of an Associate’s degree in Human Resources, Public Administration, Business Administration, Communications, or a related field desired.
- Experience: Prior experience in a Human Resources office is preferred. software is desirable.
- Technical Skills: Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Publisher.
- Communication Skills: Excellent written and verbal communication abilities.
- Attention to Detail & Organization: Strong organizational skills with the ability to manage workflow, maintain filing systems, and coordinate schedules efficiently.
- Independence & Reliability: Ability to read, comprehend, and follow instructions accurately while working independently with minimal supervision.
- Interpersonal Skills: Demonstrates professionalism, sound judgment, and courtesy when interacting with a diverse range of individuals.
Job Type: Full-time
Pay: $21.99 - $22.91 per hour
