Essential Duties
Qualified candidates will be responsible for all administrative office procedures of the Building Services Department. Key responsibilities include, but are not limited to:
Administrative Support Responsibilities:
- Provide administrative support to the Director, Manager, or Supervisor, making collaborative decisions in their absence.
- Offer direction and support to department staff as needed.
- Maintain department employee files.
- Generate and process status change forms, including action sheets, disciplinary actions, new hires, and temporary modified work arrangements.
Employee Management & Training:
- Oversee the completion of performance evaluations for department employees.
- Address inquiries, resolve urgent issues, and direct matters to the appropriate personnel when leadership is unavailable.
- Represent leadership in meetings when necessary.
- Assist in the hiring process and coordinate training for new employees.
- Administer department policies regarding hiring, orientation, evaluation, and employee support.
- Monitor and recommend additional training for staff.
Policy, Compliance & Record-Keeping:
- Lead and coordinate the development of department policies and procedures, ensuring compliance and currency.
- Maintain and organize records for Property Committee meetings, including agenda preparation, posting, and distribution of minutes and reports.
- Handle all department correspondence in a timely manner.
Financial & Budgetary Responsibilities:
- Assist the Director with annual budget preparation and oversee budget management.
- Provide necessary financial data to affected departments, research account histories, and audit financial/statistical reports.
- Input and manage seven building budgets within the financial system.
- Prepare budget documents for the University of Wisconsin-Green Bay – Sheboygan Campus and Sheboygan County Historical Museum.
- Manage accounts payable and receivable, allocating costs, reconciling vendor statements, and preparing journal entries.
- Oversee cash control, verify and process payments, and conduct monthly budget analysis.
- Reconcile VISA purchasing card statements and ensure accurate financial reporting.
Operational & Miscellaneous Duties:
- Maintain facility contracts and assist with updates as needed.
- Update and monitor the department website.
- Coordinate room reservations at the Aging & Disability Resource Center.
- Manage daily office operations, serve as the primary point of contact for visitors and phone inquiries.
- Order and maintain inventory of office and printing supplies.
- Coordinate staff travel for educational seminars, including registration, transportation, and accommodations.
- Prepare special reports and studies as requested.
- Perform other duties as assigned.
Qualifications
- Education: Minimum of an Associate’s degree in Human Resources, Public Administration, Business Administration, Communications, or a related field desired.
- Experience: Prior experience in a Human Resources office is preferred. Experience with payroll software is desirable.
- Technical Skills: Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Publisher.
- Communication Skills: Excellent written and verbal communication abilities.
- Attention to Detail & Organization: Strong organizational skills with the ability to manage workflow, maintain filing systems, and coordinate schedules efficiently.
- Independence & Reliability: Ability to read, comprehend, and follow instructions accurately while working independently with minimal supervision.
- Interpersonal Skills: Demonstrates professionalism, sound judgment, and courtesy when interacting with a diverse range of individuals.
Job Type: Full-time
Pay: $21.00 - $25.00 per hour
