Summary

We are seeking an Administrative Specialist in our Pension department who is a personable and analytical individual with excellent communication skills to assist members on their journey to retirement. In this role, you will play a vital part in supporting our daily operations and enhancing our service delivery to participants. Your organizational skills and customer service orientation will be key to ensuring smooth administrative processes.

Responsibilities

  • Provide exceptional customer service to participants and stakeholders by communicating the terms of pension benefits, including payment methods and adjustments, and the collection of any overpayments.
  • Manage administrative tasks, including preparing documents, scanning, photocopying, document management, maintaining databases, tracking application status, and coordinating administrative services.
  • Maintain accurate records and documentation in the pension database and ensure all required information has been received by Participants or Beneficiaries to initiate and maintain pension payments.
  • Handle phone communications with professionalism and courtesy.
  • Assist with front desk operations, greeting visitors and answering inquiries.
  • Support the team in various projects to improve operational efficiency.

Requirements

  • High school diploma or equivalency with a minimum of 2 years' administrative experience; Bachelor's degree strongly preferred and proven experience in an administrative role or similar position.
  • Strong analytical and problem-solving skills.
  • Strong mathematical aptitude.
  • Strong organizational skills with attention to detail.
  • Excellent time management abilities to multitask and prioritize tasks effectively.
  • Excellent communication skills, both orally and in writing.
  • Exceptional, professional customer service skills.
  • Ability to work independently and in a team environment.
  • Familiarity with MS Office.
