What are the responsibilities and job description for the Executive Director position at Shelby County Historical Museum?
The Executive Director serves as the overall administrator for the Shelby County Historical Museum. They are responsible for the day-to-day operations of museum facilities. The Executive Director reports directly to the Board of Directors.
The position is designated as exempt. Duties and Responsibilities (other duties may be assigned):
Daily Operations
- Provide daily oversight to the operations of the historical society. * Maintain official records and documents to ensure compliance with federal and state laws. * Maintain a working knowledge of museum trends, professional standards, and best practices to be carried out when developing or improving operations, programs, exhibits, and collections care. * Direct and oversee emergency preparations. * Direct and oversee routine maintenance of the site.
Board of Directors and Governance
- Must attend all Board of Directors and assigned committee meetings. * Provide leadership in developing short- and long-range goals for the SCHSM, organization and financial goals, and effectively carrying out plans and policies established by and with the Board of Directors. This includes making recommendations for policies and initiatives to the Board of Directors or assigned committees. * Provide support to the Board of Directors in meeting its governance responsibilities as required by law. This includes keeping the Board fully informed and submitting regular reports about the conditions and issues facing the SCHM.
Supervisory
- Responsible for the recruitment, training, supervision, and evaluation of SCHM personnel. Ensure the facilities are adequately staffed for hours of operation, programs, and events to meet the needs of patrons. Track and report staff/volunteer personnel hours. * Provide leadership to personnel that fosters loyalty, integrity, commitment, and creative thinking. Maintain an open and cordial communication environment for personnel. Encourage and support continuing education efforts
Financial
- Record daily transactions and prepare deposits on a weekly or as needed basis. * Working with the Finance Committee, develop and manage a balanced annual budget as approved by the Board of Directors. * Working with the Board Treasurer, maintain the financial assets of the organization.
Development
- Work with staff to develop and cultivate new donors, members, sponsors, and foundation support. Create and maintain a means of regular communication with supporters. * Develop new and expanded earned revenue strategies. * Provide oversight for staff helping to develop, plan, and implement fundraising efforts for annual gifts, memberships, grants, sponsorships, and capital campaigns.
Fundraising
- Identify corporate, governmental, and foundation grant opportunities that may provide financial, in-kind, or other support for the SCHM mission and programs. * Identify private donor opportunities that contribute to short- and long-term growth of the Shelby County Historical Society Endowed Fund. * Execute all donor cultivation and stewardship activities including gift proposals, thank you letters, and follow-up communication. * Actively fundraising to help meet both the needs of day-to-day operations and special projects. * Manage grants calendar and provide reports as required on applications planned, pending, successful, and declined. * Craft and submit LOIs (Letter of Interest) and grant proposals to private foundations and other funders. * Manage the entire grant process from crafting compelling budgets to post-award and close-out documentation. * Manage end-of-year campaign including creating and writing appeal letter.
Public Relations, Programming, and Outreach
- Oversee the development of school and group tours on an annual basis. * Provide oversight of staff working to develop and evaluate SCHSM programming and outreach efforts. * Maintain a stocked and open museum gift shop. * Develop, schedule, and execute large and small events – both fundraising and educational programing. * Coordinate the management of the membership database, send renewal reminders, and developing additional membership benefits. * Participate in outreach through contributions to columns in the Harlan Newspapers as well as participation in museum events and activities.
Community Relationships
- Serve as the public face, along with the Board President, of the Shelby County Historical Society in a professional manner. Maintains a sound working relationship with government entities and their representatives, community organizations, other historical preservation organizations, and funding entities such as individuals, corporations, and private foundations. Maintain relationships and connections within the local and regional news media. * Contribute as an active member of the community through service groups and projects to establish and maintain important connections.
Marketing * Work with staff to design and deliver relevant publications and marketing materials for the SCHM including the quarterly newsletter, monthly newspaper columns, brochures, flyers, and pamphlets. * Oversee the development and dissemination public information for promoting the work and programs of the SCHM to relevant media sources. * Ensure the historical society website, blog, and social media sites are updated regularly.
Collections Management Registrar
- Maintain records in accordance with current museum standards. * Oversees accessioning and cataloging, and the assignment of and application of permanent numbers to artifacts. * Oversee the maintenance and updating of all collections forms, procedures, and policies, and other artifact records, through both manual and electronic systems. Collections Management Duties * Provide coordination of professional care for objects in the Museum's collections. * Evaluate strengths and weaknesses of the Museum's collections and suggests solutions and/or de-accessions. * Coordinates the planning and implantation of special projects in the collections area. * Monitor all collections areas, onsite and offsite, for cleanliness, changes in temperature/humidity, pest activity, and ongoing maintenance concerns. * Consult with donors about potential artifact donations. * Respond to staff, board, donor, and public inquiries regarding the collections.
Curatorial Duties
- Coordinate, plan, and organize exhibitions that serve the SCHM's mission. * Coordinate the research of objects in the collection. * Negotiate object loans. General Collections Duties * Adhere in the performance of duties to the professional code of ethics outlined by the American Alliance of Museums. * Advise the Collections Review Committee. * Submit regular information to board members through board reports, annual reports, and Quarterly Collections Review Committee minutes.
Qualifications and Experience
The ideal candidate will have the following experience:
- Bachelor’s Degree
- Minimum of 3 years’ experience in business administration, nonprofit management, or related field.
- Experience with developing and managing object collections
- Proven track record of soliciting, closing, and stewarding financial gifts.
- Skilled at cultivating strong relationships with donors, staff, volunteers, and the community at large.
- Strong presentation and communication skills.
- Self-starter that can work both independently and as part of a team.
