Shenandoah University’s Office of Admissions is accepting applications for a Coordinator/Assistant Director for Online Graduate Admissions. This is a full-time benefited position located on our main campus in Winchester, Virginia.
The Coordinator/Assistant Director for Online Graduate Admissions provides expert counseling to prospective online graduate students, oversight of online graduate admissions processes, and serves a pivotal role in elevating awareness and enrollment in Shenandoah’s online graduate programs. Charged with developing positive relationships internally and externally by liaising directly with assigned online graduate programs and vendors, as well as guiding prospective online graduate students throughout the enrollment process, the Coordinator/Assistant Director serves as an ambassador for the university, delivering guidance and essential information about online graduate programs, admissions criteria, and ensuring a seamless transition to Shenandoah University.
The primary responsibilities of this position are to (1) represent Shenandoah University both internally and externally in a professional, caring, and supportive way; (2) serve prospective online graduate students as an expert counselor throughout the enrollment process; (3) execute and maintain online graduate admissions processes (4) gather data and maintain documentation to support the implementation of online graduate admissions initiatives. This role is best suited for individuals who are highly driven, customer-service oriented, who have the ability and willingness to take ownership of responsibilities, thrive in a fast-paced environment, and work effectively independently as well as part of a team until the task is successfully completed.
Specific responsibilities include, but are not limited to:
Application File Management (For Assigned Online Programs)
- Counsel prospective students in assigned programs through the application process by communicating timely information.
- Contact prospective, new, and current students to recruit and admit as well as make additional inquiries in prospects’ higher education aspirations. Nurture leads and articulate to prospective students how Shenandoah fits into their educational goals.
- Meet virtually with prospective students in assigned academic department areas.
- Ensure all applicants’ admission requirements are met and consistently review documents to facilitate application completion.
- Prepare and deliver applications for review, ensuring accuracy and timeliness of the delivery.
- Compare official transcripts to unofficial transcripts in order to check for accuracy.
- Review and provide decisions on assigned applications.
- Develop positive relationships with assigned online graduate programs. Collaborate with those departments to recruit and provide seamless service to prospective students.
- Maintain positive relationships with external online program vendors. Collaborate with those entities to recruit and provide seamless service to prospective students.
- Serve as liaison between prospective students and the appropriate personnel.
- Liaise with third-party partners as necessary.
- Provide a seamless hand-off of students to necessary teams at Shenandoah for advising and student support after the applicant has accepted their admission.
Online Application Process Management
- Oversee development and maintenance of online graduate application processes.
- Understand Slate CRM policies and processes and consistently evaluate to increase efficiency.
- Communicate regularly with the admissions team for any application, documentation, or related issues. Responsible for minor changes in systems and processes to solve problems or improve effectiveness in collaboration with others.
- Regularly review and report metrics regarding online graduate applications and monitor matriculation of students into programs.
- Train, mentor, and counsel colleagues on relevant online graduate program processes.
And other responsibilities as assigned.
Required Skills
Qualifications:
- A bachelor’s degree from a regionally accredited college. Assistant Director - Master’s degree preferred.
- Experience working in higher education, customer service, student recruitment, admissions, or related office environment preferred; Assistant Director must have experience in higher education with admission-specific experience preferred.
- Designation as Coordinator or Assistant Director will be dependent upon professional experience and education.
- Strong interpersonal communication skills, including the ability to empathize and form relationships.
- Must possess excellent written and oral communication skills.
- Ability to utilize and learn numerous technology applications with prior exposure to a database system preferred. Assistant Director - prior admissions systems experience, especially Slate, preferred.
- Demonstrated proficiency in the use of Microsoft Office Suite.
- Attention to detail, ability to prioritize tasks, and meet deadlines.
- Ability to manage multiple tasks in a busy office and the ability to work both independently and in a collaborative team environment.
- Motivated and capable of using own initiative.
- Ability and willingness to work evening hours, weekends and for overnight travel.
- Valid driver’s license with good driving record and ability to pass a DMV check.
- Must be able to lift 50 lbs into and out of a vehicle.
