What are the responsibilities and job description for the Administrative Assistant position at Shepherd of the Sea Lutheran Church?
The Administrative Assistant will serve the church as receptionist, being the first point of contact for members and visitors by phone, email and in person. The Administrative Assistant will perform office administrative duties enhancing the ministry to the church and community.
Duties and Responsibilities:
- Cordially answer telephone, emails, and receive visitors.
- Help maintain church records of membership and contact information.
- Coordinate rental groups and special event rentals including contracts and the church calendar.
- Generate and distribute a monthly church Newsletter and calendar.
- Prepare the Sunday bulletin, seasonal bulletin, monthly calendar, prayer sheet, etc.
- Prepare special bulletins for events such as baptisms, weddings, funerals, etc.
- Record and maintain donation information in church databases and files.
- Maintain proficiency in the operation of computer, copiers, and other office equipment.
- Prepare correspondence and any other materials requested by the Pastoral & Ministry staff or council
- File correspondence, reports, etc. as required.
- Assist in keeping common office area neat and organized so that files and records are able to be obtained as required.
- Maintain record of phone calls received.
- Assist Pastors with scheduling meetings and events.
- Order and maintain office supplies in support of church staff and associated ministries.
- Assist with the counting of offerings and online donations.
- Provide receipts for donations as needed.
- Maintain and update the church website as needed.
- Other duties as assigned.
- Proficient in Microsoft Office Suite (Word, Publisher, Excel) for document creation, editing
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent written and verbal communication skills with a professional phone etiquette.
- Ability to handle confidential information with discretion.
- Attention to detail and strong data entry skills.
- Ability to multitask and work well under pressure.
Job Type: Part-time
Pay: From $15.00 per hour
Expected hours: 10 per week
