Position: Administrative Assistant
Reports To: CEO
Schedule: M-F 9a-5p
Position Location/Department: Administration
Job Summary: To be the main communication between all the hospitals vendors and CEO and board members. The individual must be creative and enjoy working in a small hospital setting. The ideal individual will be very punctual and responsive to phone calls and email communications. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities and leaders.
Essential Duties and Responsibilities:
- Complete a broad variety of administrative tasks for the CEO and his/her direct reports.
- Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately.
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Assists in coordinating the agenda of senior management team meetings, off-sites, board meetings and all staff meetings.
- Greet guests in a professional matter.
- Working with Finance to set up payment plans with vendors in a timely manner.
- Forward looking thinker, who actively seeks opportunities and proposes solutions.
- Provides a bridge for smooth communication between the executive team and external contacts.
- Must be able to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
- Exhibits ability to discern confidential information, follows code of conduct and core values of the organization
- Demonstrates proactive approaches to problem-solving with strong decision-making capability.
- Other duties as assigned by up line
- Must be available for occasional after-hour support
Education, Experience and Other Requirements:
- Bachelors degree required
- 1 to 3 years of experience supporting C-Level Executive
- Expert level verbal and written communication skills
- Proficient in Microsoft Office ( Outlook, Word, Excel, and Power Point)
