The Executive Assistant will provide high-level administrative support to a C-suite executive, ensuring seamless daily operations. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to handle confidential information with professionalism. The ideal candidate will be a proactive problem solver with excellent communication skills and the ability to manage multiple priorities effectively.
Key Responsibilities:
- Manage complex calendars, schedule meetings, and coordinate appointments.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Act as a gatekeeper, screening calls, emails, and requests for the executive.
- Coordinate travel arrangements, including flights, accommodations, and itineraries.
- Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
- Handle confidential information with a high level of discretion and professionalism.
- Assist with special projects, initiatives, and research as needed.
- Liaise with internal departments and external stakeholders on behalf of the executive.
- Maintain office organization and ensure the executive is well-prepared for daily responsibilities.
- Perform other administrative duties as required to support the executive and organization.
- Bachelor’s degree preferred; equivalent experience considered.
- 5 years of experience as an Executive Assistant, preferably in a healthcare or corporate setting.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools.
- Excellent organizational, time management, and multitasking skills.
- Strong verbal and written communication abilities.
- Ability to work in a fast-paced environment and handle pressure with professionalism.
- High level of discretion and ability to handle confidential information.
- Strong problem-solving skills and a proactive approach.
- Exceptional attention to detail and accuracy.
