What are the responsibilities and job description for the Enrollment Services Representative position at Shippensburg University?
1. Responsible for all stages of application processing in the Admissions CRM software for approximately 50% of undergraduate, non-degree, high school dual enrollment, and undergraduate certificate applications, this also includes international applicants (7200 total):
- Data Review of applications
- Collating application data (transcripts, SAT & ACT scores, letters of recommendation, etc.), completing applicant files, by electronically attaching documents
- Advise applicants of items needed to complete application.
- Computer input of application data to the student information system.
- Input decision or deposit, if needed.
Work is performed with considerable independence, within a team environment. Extensive data entry across multiple systems, proficient in MS Word, MS Excel, and customer service.
2. Responsible for maintaining enrollment management customer service and support, including answering prospective student phone calls, processing incoming email correspondence, supporting the front desk receptionist for visitor hosting, and as in-person support at Admissions events and New Student Orientation as needed.
3. Responsible for mailing decision letters and packets to prospective students.
4. Responsible for downloading electronic transcripts each day and distribution of those transcripts to the appropriate staff.
5. Responsible for downloading AP scores, SAT scores, and data review of scores within the student information system.
6. Reviews computer input and output for completeness of processing and accuracy of student information.
7. Reviews output problems involving data movement and assists in resolving program breakdowns and provides backup support for SIS integration tools.
8. Manage the administrative “hold” process on students’ permanent records, where appropriate.
9. Responsible for training and supervising assigned student workers. Assists with student
employees within the Office of Admissions (Undergraduate and Graduate) to include student payroll positions and graduate assistants. This includes all necessary paperwork, payroll information, and approval of hours in e-time if needed.
10. Serve as back-up for front desk coverage as needed.
11. Provides back-up support of application processing for all classification of incoming application types within the team.
12. Responsible for the release of application decisions when supervisor is not available.
13. Other related duties as required by the supervisor.
Minimum Qualifications
One year as a Data Analyst 1; or three years of progressively responsible experience in the review, analysis, and control of computer processed data. Appropriate post high school education may be substituted for experience on a year-for-year basis. Or any equivalent combination of experience and training.
