The Role
The Construction Admin Assistant will support the construction department by managing administrative tasks and ensuring effective communication with internal and external partners. This role is crucial for maintaining project organization and smooth operations. The position will be based out of our Houston Office.
Construction experience is preferred for this role. Applicants should have hands-on experience in construction to ensure they can meet the demands of the position.
Construction Admin Assistant Essential Duties and Responsibilities:
- Maintain and update spreadsheets related to project status, budgets, and other relevant information.
- Process and track invoices, ensuring timely payments and accurate records.
- Communicate with our stores to gather information, provide updates, and address construction-related queries.
- Monitor and follow up on special projects, providing status updates and ensuring timely completion.
- Liaise with city officials across the country to inquire about the status of permits and inspections.
- Interact with vendors and general contractors to verify the submission of proper paperwork and address any issues.
- Follow up on tenant allowances and landlord closeout packages, ensuring all necessary documentation is completed and submitted.
- Perform other duties as assigned to support the construction department.
Construction Admin Assistant Job Qualifications - Education and/or Experience:
- Previous experience in an administrative role, preferably within the construction industry.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite, especially Excel.
- Ability to multitask and prioritize effectively.
- Familiarity with permit and inspection processes is a plus.
- High School Diploma or Higher.
