Role Description -
This is a full-time on-site role for a Personal Assistant at Shoma Group. The Personal Assistant will be responsible for providing executive personal assistance, administrative assistance, managing diaries, and performing clerical tasks. Effective communication and organization skills are essential for success in this role. Travel is required.
The position has its own office, laptop and office cellphone. We require the employee to take a drug test as part of the on boarding, pass a background check, sign an NDA and ONLY communicate via the work cell phone.
The position task are the following:
- Coordínate/ Schedule personal/ business appointments
- Coordínate/ Book dining reservations
- Coordínate/ Book hotels, flights and transportation
- Coordinate House staff schedules
- Order/ Pick up and Serve Lunch
- Order/ Make tea and coffee
- Restock office supplies
- File documents, make personal copies and scan documents
- Set up conference rooms for meetings/ guest
- Order catering and setting it up for meetings
- Pick up/ Return packages, keep track of return refunds/ credits
- Attend personal meetings, interviews and appointments as needed
- When attending personal interviews/ appointments it’s required to arrive early to ensure that everything is ready and running on time.
- Private airplane management, including:
- Work with Airplane manager (Software for flight schedules)
- Work with Google Drive (System where we keep track of all itineraries and reservations for trips)
- Inventory of all supplies and snacks
- Organization of the plane, supplies and snacks
- Ordering catering for flights
- Coordinating/ booking hotels and flights for pilots
- Travel as needed - travel can include:
- Unpacking luggages
- Dog sitting
- Attending appointments
- Working remotely on follow-ups
Administrative task can include, but are not limited to:
- Attending business meetings
- Taking clean and detailed notes
- Entering listings in the MLS
- Managing multiple inboxes
- Managing multiple business calendars
- Following up with the marketing department
- Expense reports for accounting
- Site visits
- Project meeting follow ups
