JOB DESCRIPTION
JOB TITLE: Office Manager
REPORTING RELATIONSHIP: Responsible to the Corporate Administrator and Program Managers
OFFICE MANAGER DUTIES
The duties of the Office Manager shall include, but not limited to, the following:
- Assume responsibility for the overall management and operation of the front office;
- Answer telephones and give information to callers, take messages, or transfer
calls to appropriate individuals;
- Maintain data systems relative to client data and staff data (LaSRS, LSCIS, email server, etc.);
- Check program emails and distribute to appropriate parties;
- Distribute faxes, emails, and US mail;
- Responsible for the efficient operation of systems (IT, copiers, building maintenance, etc.);
- Maintaining an adequate supply of PR/Marketing materials to a minimum of 25 pieces of each item (pamphlets/books/business cards, etc.);
- Serve as site Health and Safety officer by overseeing drills, poster displays, etc.;
- Design and distribute Agency newsletters, promotional material, and other information as required;
- Support staff as needed in assigned project-based work to include maintaining a supply of program forms/packets;
- Distribute faxes received and obtain signature of staff confirming receipt on a scheduled basis (10 AM, 1 PM, 3:30 PM);
- Assist Program Managers with other administrative duties as needed;
- Maintains customer confidence by keeping information confidential;
- Maintains office supplies inventory by checking/ordering stock to determine inventory level;
- Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs (NOTE: visitors are not allowed into staff areas unescorted.);
- Meter outgoing and distribute incoming mail and other material;
- Responsible for maintaining and enrollment of staff for training programs (Moodle, Relias, etc.)
- Manage time clock reports for payroll;
- Perform QA for agency programs;
- Run/Submit various reports as requested by management
- Monitor recruitment sites and submit twice weekly reports (Wed. & Fri.) to supervisor;
- Perform other duties that may be assigned by management

- Skilled in Microsoft Office Suite – MS Excel, MS Word specifically
QUALIFICATIONS
- A minimum of (2) years combined work experience in an administrative/office manager capacity is desired;
- A Bachelor’s Degree in Human Services, Social Work, Psychology, or a related field is preferred; however, a degree in Business or a related field will also be considered.
- Proficient in MS Excel and Word
- Applicant must be able to effectively prioritize and execute tasks in a timely manner;
- Possess the ability to work with diverse groups of people;
- Must be knowledgeable of standard treatment approaches and trends.
Job Type: Full-time
Pay: $16.00 - $17.00 per hour
Expected hours: 40 per week
