Key Responsibilities
- Customer Communication:
- Answer phone calls and emails professionally, addressing customer inquiries and scheduling appointments.
- Follow up on customer leads and quotes to ensure timely responses and customer satisfaction.
- Administrative Support:
- Manage day-to-day office tasks, including filing, data entry, and maintaining office supplies.
- Prepare and send invoices, track payments, and maintain accurate records in MS Excel.
- Sales Support:
- Track incoming leads, schedule follow-ups, and assist in creating quotes and proposals.
- Maintain an organized system to ensure no lead or quote is missed.
- Social Media Management:
- Manage the company's Facebook page, including posting updates, responding to messages, and engaging with followers.
- Assist in developing and maintaining the company’s online presence.
- Document Management:
- Prepare documents, reports, and correspondence using MS Word and Excel.
- Ensure proper organization of files, both digital and physical.
- Collaboration:
- Work closely with electricians, sales staff, and management to ensure seamless operations.
- Coordinate between the office and field teams to ensure efficient communication.
Qualifications
- Education: High school diploma or equivalent (Associate’s degree preferred).
- Experience: Prior experience in an office or administrative role is preferred.
- Skills:
- Strong communication skills (verbal and written).
- Proficiency in MS Office and Excel.
- Strong organizational and multitasking abilities.
- Social media management experience (especially Facebook).
- Ability to handle customer interactions professionally and courteously.
- Knowledge of Quickbooks
