Sicangu CDC focuses on food sovereignty, education, housing, and health while working collaboratively with other Sicangu Co entities to provide holistic support and opportunities for the community. Together, the ecosystem leverages shared resources, expertise, and partnerships to create impactful, lasting change.
POSITION OVERVIEW
The Sicangu CDC Education Initiative is looking to hire a full-time employee to fill the position of Administrative Assistant. The Administrative Assistant plays a crucial role in supporting the daily operations of Wakanyeja Ki Tokeyahci Immersion School. This position ensures the smooth functioning of the school's administrative processes, including communication, scheduling, record-keeping, and general office management. The ideal candidate will be highly organized, detail-oriented, and possess excellent interpersonal skills to interact with students, parents, and staff.
Key Responsibilities:
Office Administration:
- Serve as the first point of contact for visitors, parents, and students, providing a welcoming and professional environment.
- Answer and direct phone calls, emails, and other correspondence in a timely and courteous manner.
- Maintain office supplies inventory and place orders as needed.
- Organize and maintain physical and digital filing systems, including student records and administrative documents.
- Assist with the preparation and distribution of school communications, newsletters, and reports.
Student and Staff Support:
- Maintain student attendance records and notify parents of absences when necessary.
- Assist in scheduling appointments, meetings, and school events.
- Support teachers and staff with administrative tasks, such as photocopying, preparing materials, and coordinating substitute teachers.
- Maintain confidentiality and security of student and personnel information.
Finance and Budget Assistance:
- Organize, track, & submit school related expenses(receipts) to our finance department
Event Coordination:
- Assist in planning and organizing school events, field trips, and parent-teacher conferences, etc.
- Coordinate logistics, including transportation, catering, and venue arrangements.
- Prepare and distribute event materials and communications.
- Coordinate with external vendors and service providers as needed.
Compliance and Safety:
- Ensure compliance with school policies and procedures regarding student records and confidentiality.
- Assist with emergency drills and safety procedures.
- Maintain up-to-date knowledge of school policies and assist in enforcing them as needed.
Other Job Functions:
- Abide by tribal and state statutes, school board policies and regulations.
- Attend meetings and perform duties as assigned by administration or supervisor.
- Take all necessary and reasonable precautions to protect students, equipment, materials, and facilities.
- Maintain accurate, complete, and correct records as required by law, district policy and administrative regulation.
Qualifications, Desired Knowledge and Skills:
Required:
- Valid driver’s license and dependable transportation
- Able to lift 50 pounds
- Able to work evening and weekends on an as-needed basis
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
- Self-motivated and able to work independently
- Excellent time management and communication skills
- Able to create clear work-plans to meet deadlines
- Possess problem solving skills and the ability to prioritize
Preferred:
- Minimum of 2 years of experience in administrative or office support roles, preferably in an educational setting.
- Experience with school management software is a plus.
Physical Demands & Work Environment
- This is an in-person position in Mission, SD.
- Flexibility to work evening or weekend hours may be required to accommodate family schedules and school events.
- Requires frequent interaction with staff, students, and team members.
