The Opportunity
The Project Specialist will play a vital role in supporting the Turnkey Division by assisting in project planning, execution, documentation, and proposal preparation. This position ensures that all necessary documentation is created, maintained, and organized efficiently while enhancing communication between Sales, Project Management, Field Services, and Shared Services. With rapid growth anticipated in 2025, the Project Specialist will be integral to maintaining seamless operations and improving efficiencies.
Your day-to-day may include:
Proposal Support Process
- Initiate proposal process and gather required information from all stakeholders
- Compile required documentation such as cover sheets, resumes, Safety Data Sheets (SDSs), and other relevant materials.
- Ensure consistency and formatting accuracy in all outgoing proposal documents.
- Serve as the primary account holder for procurement dashboard interfaces ensuring timely submissions.
- Coordinate with subcontractors and vendors
- Maintain and update internal processes weekly for proposal tracking and forecasting.
Project Execution & Documentation
- Initiate project administration and support kick-off activities.
- Compile and distribute Job Books containing relevant project documents, procedures, and drawings prior to mobilization.
- Support the field team by formatting and organizing daily reports, data sheets, and final reporting.
- Submit and track customer surveys, providing feedback to Project Managers and stakeholders.
- Develop marketing materials summarizing project scopes, unit details, and customer feedback to support client relations and outreach.
Operations & Process Improvements
- Assist with vendor management and procurement, coordinating quotes and purchase requests.
- Track and input time entries for field personnel, including per diem tracking and submission to payroll.
- Maintain an inventory management system for tracking test equipment calibration, location, and availability.
- Support marketing efforts, including social media updates and outreach coordination.
- Participate in all pertinent meetings and seek resources proactively.
- Perform other duties as assigned.
What we expect of you:
- Strong organizational skills with the ability to manage multiple projects simultaneously.
- Detail-oriented with experience in document control, data entry, and reporting.
- Excellent communication skills (written and verbal) for coordinating across departments.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with Salesforce, ADP, or similar project tracking systems.
- Ability to work independently and take initiative while maintaining a team-first approach.
- Experience in project coordination, proposal preparation, or administrative support in an industrial or engineering setting.
- Familiarity with procurement dashboards (e.g., Ariba, Jaggaer) and customer proposal submissions.
- Knowledge of inventory management and vendor coordination.
- Exposure to payroll processes, time tracking, and/or per diem management.
Shift: Monday – Friday, 9 am – 5:30 pm. Start time is flexible within regular business hours.
Reports To: Project Manager
Annual Salary: $25 - 30 per hour, depending on experience
Location: Hybrid role. In-person 4 days per week at our Bluffdale location; option for remote work 1 day per week.
