Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will possess strong calendar management and time management skills, ensuring that daily operations run smoothly. This role will involve performing clerical support in an efficient manner in accordance with established procedures, and as directed by your supervisor. The Administrative Assistant will play a crucial role in maintaining an efficient management environment.
Responsibilities
- Must be able to read, write, speak, and understand the English Language
- Must be a supportive team member, contribute to and be an example of team work and team concept
- Must possess the ability to make independent decisions, follow instructions, and to accept constructive criticism when circumstances warrant such actions
- Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies / personnel, and the general public
- Must possess the ability to type 45 words per minute, and use a 10-key calculator
- Must be able to systematically manage phone switchboard operations
- Must have working knowledge of computers, data entry / retrieval, input / output, etc.
- Must be knowledgeable of administrative practices, procedures, and guidelines
- Must be able to follow written and oral instructions
- Must possess the ability and the willingness to work harmoniously with other personnel
- Must possess the ability to display patience, tact, cheerful disposition and enthusiasm, as well as be willing to handle residents based on whatever maturity level they are currently functioning
- Must possess the ability to seek out new methods and principles and be willing to incorporate them into existing practices
- Must not pose a direct threat to the health or safety of other individuals in the workplace
- Must be able to complete all other tasks as assigned by the Administrator, Business Office Manager, or designee
Qualifications
- Proven experience as an Administrative Assistant or in a similar role, preferably in an office or dental receptionist setting.
- Strong calendar management skills with the ability to prioritize tasks effectively.
- Excellent time management skills to handle multiple responsibilities efficiently.
- Proficient computer literacy with experience in Microsoft Office Suite or similar software.
- Exceptional communication skills, both written and verbal, to interact with clients and team members professionally.
- Previous experience as a personal assistant or customer support representative is a plus.
- Ability to work independently as well as collaboratively within a team environment.
