We are seeking a motivated and highly organized individual to serve as Project Administrator/Administrative Assistant onsite at New Mexico DOT project in Shiprock, NM. Your primary role will be to keep the project organized and prepared for an ever-changing schedule.

As a Project Administrator/ Administrative Assistant, you will play a critical role ensuring the smooth operation of the project office by handling correspondence, maintaining office supplies and providing essential support to the project team. Organization, attention to detail, a focus on customer service, multitasking in a fast-paced environment, effective communication skills and professional demeanor are essential of this position.
ESSENTIAL DUTIES AND RESPONSIBILITIES
including but not limited to:
- Work onsite in project office trailer
- Work closely with project manager and executives to draft, send, and track contracts for subcontractors, suppliers, and consultants for each assigned project.
- Support Project Managers (PMs), Executives, and Officers with administrative duties as needed.
- verify W-9 and request insurance certificate for compliance for sub-contractors.
- print plans and specifications for Project Manager and field team as needed.
- Assist PM with drafting change orders and notices, submittal transmittals, and other correspondence.
- Request project closeout documents and assist Project Manager and Project Engineer with organization and continuous communication.
- Assist with front office duties such as answering the phone and door, distributing mail and packages.
- Review, enter and post invoices for project related expenses. Includes verifying unit rates against contracted supplier quotes.
- Request and reconcile statements from contracted suppliers.
- Create payment batches for checks/EFT (includes sending lien waivers as needed).
- Request and review account balances from subcontractor’s suppliers, equipment rentals, and sub-tiers before funding subcontractor.
- Communicate with vendors and suppliers regarding payment status.
- Ensure EEO bulletin board is current and up-to-date
- Ensure daily and weekly safety meetings are held and documented by field team
Minimum Qualifications:
- Minimum 2 years clerical and documentation experience in the construction industry preferred
- General – electronic filing and record keeping, designing forms and documents, drafting professional correspondence, effective and organized communication, entry level accounting and basic mathematical skills.
- Highly organized
- Must be a resident of the United States
Required Skills and Abilities:
- Ability to pass pre-employment drug screening and background check, including randoms
- Ability to pass MVR; including routine checks
- Ability to safety navigate a job-site; to include maneuvering across uneven surfaces
- Ability to work outside being exposed to inclement weather elements as needed
- Ability to lift and carry a maximum of 100 pounds
