About The Position
The Festival Guest Relations Coordinator, reporting to the Guest Relations Manager, is responsible for coordinating the travel details for Festival guests from around the world, including travel reimbursement and hotel accommodations for filmmaking guests. This position also acts as general support for the Guest Relations department.
Dates of Employment: March 31, 2025- May 30, 2025
Compensation: Hourly, $22/hour
Reports to: Festival Guest Relations Manager
Primary Supervisory Responsibilities: Festival Volunteers
Primary Roles and Responsibilities
- Manage travel reimbursements for domestic and international travel per established guidelines and/or book air travel for our out-of-town guests consistent with established guest relations procedures for securing best flights and prices; correspond with guests to determine best flights and fares – may require some negotiation with guests.
- Book hotel accommodations for out-of-town guests per specific sponsorship agreement between SIFF and hotel(s); correspond with guests to determine acceptable accommodations – may require some negotiation with guests.
- Work with the Guest Relations Transportation Coordinator to assure that all ground transportation for guests is arranged.
- Interface with SIFF Development Department to ensure adherence to all details of travel and hotel related sponsorships.
- Work closely with the Guest Relations Film Services team to assure that all SIFF guests have a great festival experience.
- Work closely with all SIFF guests to ensure that their festival experience is superb.
- Other duties as assigned
Qualifications
- 2-3 years of experience in accommodating, scheduling, and coordinating domestic and international travel
- Knowledge of best practices for accommodating and scheduling domestic and international travel
- Keen attention to details, a love for excel spreadsheets, and a disposition for a fair amount of screen time in front of a computer
- Comfortable with Windows PCs, Google Suite, and Microsoft applications
- Demonstrated commitment to racial equity
Desired
- Community arts, festival and/or non-profit experience is a plus
- Experience with FileMaker Pro and/or Shiftboard scheduling software is a plus
