This role involves reviewing hours, wages, and deductions for accuracy while maintaining compliance with city, state, local, and federal payroll regulations. The Payroll Administrator coordinates payroll processing with Paycom, our third-party provider, and addresses employee inquiries related to payroll. Strong analytical skills and attention to detail are essential, particularly in multi-state payroll, payroll taxes, reporting, process optimization, and payroll-related software and databases.

- Oversee all aspects of bi-weekly payroll processing for exempt and non-exempt employees
- Manage the relationship with Paycom, including system troubleshooting, verification, and follow-up on outstanding issues
- Conduct audits throughout pay cycles to validate payroll data and ensure accuracy
- Assist employees and managers with payroll-related inquiries and issue resolution
- Process and document payroll-related employee changes, including address updates, salary adjustments, bonuses, and terminations
- Manage garnishment processing in compliance with state and federal regulations
- Set up and maintain tax accounts for new state registrations
- Generate payroll reports as requested by HR and management
- Maintain accurate payroll records and control systems to comply with legal and regulatory requirements
- Ensure compliance with payroll tax deduction laws and uphold confidentiality of payroll data
- Administer Vanguard 401(k) contributions, annual audits, reporting, remittances, and compliance
- Maintain payroll process documentation and training materials for backup payroll processing
- Follow Business Technology policies to protect sensitive data and reduce information security occurrences.
- Post payroll and benefits-related journal entries (JEs) and ensure payroll general ledger (GL) report accuracy in Paycom
- Perform quarterly and annual tax account reconciliations, identifying and resolving discrepancies
- Reconcile payroll benefits across provider records, employee deductions, and liability accounts, ensuring GL alignment
- Ensure payroll benefit deductions match amounts recorded in the GL
- Associates Degree or equivalent required. Bachelor’s Degree preferred
- Minimum of 3 years of relevant work experience preferred
- Experience with Paycom and Oracle software (NetSuite and SuiteProjects) strongly preferred
- Proficiency in all aspects of the payroll cycle. Ability to manage payroll with little oversight.
- Strong written and verbal English language communication skills
- Excellent teamwork/interpersonal skills and the ability to communicate effectively. Demonstrated ability to work collaboratively, both within and outside one's own work group
