We are seeking a detail oriented Executive Assistant with grant writing experience!
This Executive Assistant will support our Impact Office and Programs. This role requires a highly organized and dedicated individual with administrative experience who is eager to grow professionally. This person will have the opportunity to leverage their grant writing experience to support funding efforts, assisting with research, and proposal development.
Qualifications:
- Moderate proficiency in Outlook (email and calendar), Excel, Virtual meeting platforms (Zoom, Teams, etc.) and PowerPoint are required.
- Exceptional writing skills, including strong grammar, punctuation, spelling, letter writing, and fast proofreading.
- Versatile communication skills: Must be comfortable with all forms of communication, including phone calls, emails, and texts, and must adapt to others' communication preferences.
- Nonprofit experience, preferred.
- Comfort with cold calling: Able to make warm, professional cold calls and compose clear, concise emails.
- Research skills: Ability to conduct research to solve problems and find answers.
- Strong interpersonal skills: Emotional intelligence, etiquette, and the ability to build positive relationships.
- Confidentiality and professionalism: Must handle sensitive information with discretion and uphold the agency’s ethical standards.
- Adaptability and problem-solving: Able to thrive in fast-paced environments, multi-task, and adjust to changing situations.
- Grant experience (preferred): Experience writing, assisting with, or reviewing grant applications is a plus.
- Team player: Collaborative and helpful, with a positive, adaptable attitude.
- Bilingual in Spanish and English (preferred but not required).
Under the direction of the Chief Impact Officer and Chief Program Officers, the Administrative Assistant will have the following responsibilities:
- Schedule meetings with staff and supervisors and outside partners as requested.
- Communicate reminders with supervisors electronically, in-person, via text or calls as appropriate.
- Effectively manage Microsoft Outlook emails and calendars.
- Manage postal mail for your supervisors.
- Deliver items to local Signal Centers’ locations and community partners.
- Create and distribute meeting agendas and other pertinent meeting information.
- Support the collection and analysis of data for stakeholder reporting.
- Assist with grant writing and grant management.
- Welcome funders and stakeholders during their visits to our organization.
- Provide logistical support for events and meetings, including venue coordination, catering, decorations, material gathering, and light cleaning.
- Take notes, transcribe discussions, and provide verbal summaries of meetings and correspondence.
- Assist with evening and weekend events as needed, including three major annual agency events.
- Participate in internal and external meetings with opportunities to join committees.
