Top commercial/industrial real estate brokerage firm has an outstanding opportunity for an Administrative Assistant.
Requirements: Qualified candidate will be a self-assured individual with a great attitude who has extensive administrative experience (minimum experience of five years as an Administrative Assistant), able to work independently, maintain confidentiality and possess a professional attitude and strong work ethic. Additionally, candidate should be able to multi-task and manage multiple priorities in a challenging and exciting work environment, work efficiently with limited direction and demonstrate the ability to produce high quality work. Prior experience in real estate preferred.
Excellent oral and written communication skills, as well as proficient in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook). Spelling, grammar, punctuation and attention to detail are required.
Responsibilities Include:
- Technical Skills: Typing (75 wpm or higher) with the ability to transcribe dictation (SpeechLive) a requirement. Ability to effectively use customary office equipment, and phones.
- Time Management: Organizes work, sets priorities and determines resource requirements; determines necessary sequence of activities needed to achieve goals while effectively managing time with limited supervision
- Adaptability: Adapts well to changes in assignments and priorities; adapts behavior or work methods in response to new information, changing conditions or unexpected obstacles; approaches change positively and adjusts behaviors accordingly
- Collaboration: Builds constructive working relationships and behaves professionally and supportively with all levels of clients/customers, other departments, organizations and others to meet mutual goals and objectives
- Provide administrative support to sales professionals
- Type and assemble letters, memos, reports, proposals, email, etc.
- Schedule appointments: organize meetings using Microsoft Outlook, Teams or Zoom
- Answer and screen calls
- Perform internet research and have knowledge of social media platforms.
