Accounts Payable Specialist

Silicon Valley International School is seeking a full-time Accounts Payable (AP) Specialist to join our finance team.

Job Summary

This position requires the accurate, efficient, and timely processing, tracking, and recording of payments. The Accounts Payable (AP) Specialist will play an essential role in the school’s financial operations by providing support to the Controller. We seek a detail-oriented professional who demonstrates initiative, possesses a positive attitude, and collaborates effectively within a team environment.

This is a full-time, non-exempt position with comprehensive benefits, reporting directly to the Controller. The salary for this role ranges from $35.00 to $40.00 per hour, with the final compensation determined by the candidate’s skills, experience, and educational qualifications. The position requires on-site presence from Monday through Friday and requires occasional extended hours during peak financial periods.

All prospective candidates must be fully vaccinated against COVID-19. However, the School is open to considering exceptions based on documented medical or religious beliefs. In such cases, candidates must submit valid documentation to substantiate their exemption requests.

Responsibilities:

• Review and process invoices and payment requests with accuracy and efficiency
• Collect and verify W-9 forms from new vendors
• Identify and resolve discrepancies in invoice terms or pricing
• Match POs, packing slips, and supporting documentation to invoices
• Coordinate with various departments to obtain payment approvals
• Manually code invoices and payment requests across multiple dimensions
• Execute weekly check runs
• Enter weekly electronic transfers and payments
• Monitor all vendor accounts to ensure payments are current and up-to-date
• Maintain organized and up-to-date vendor files
• Track use tax and assist Controller with quarterly filings
• Determine vendor 1099 status and manage annual 1099 filings
• Oversee 80 PEX cards and 18 credit cards, ensuring timely receipt submission, policy compliance, and accurate transaction coding
• Perform other duties as assigned by the Controller
  
  

Qualifications:

• Bachelor’s degree in business, with an emphasis in accounting or finance
• 4 to 8 years of accounting experience (nonprofit accounting preferred)
  
  

Required Skills, Knowledge, and Abilities:

• Strong understanding of accounting principles and accounts payable processes
• High level of accuracy, attention to detail, and problem-solving skills
• Ability to analyze and resolve invoice discrepancies efficiently
• Strong analytical skills, particularly in departmental allocations and funding restrictions
• Excellent verbal and written communication skills
• Ability to work in a diverse, multicultural environment
• Ability to handle deadlines in an efficient and accurate manner
• Self-starter with a can-do attitude
• Works well independently yet understands the benefits of collaboration
• Proficiency in MS Office, Google Suites, and Mac OS systems; comfortable with technology or demonstrated ability to learn quickly
• Experience with Sage Intacct preferred
