Overview
We are seeking a detail-oriented and proactive Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, supporting staff, and maintaining an organized work environment. This position requires strong organizational skills, computer literacy, and excellent phone etiquette to effectively communicate with clients and colleagues.
Duties
- Calling and Receiving calls. Serve as the primary contact with physicians, hospitals, patients, family members, and clinicians.
- Gather, organize, and upload all necessary patient documentation into the Electronic Medical Record (EMR) system.
- Clinician Scheduling and Visit Coordination
- Assist in HR. Manage employee onboarding/offboarding, including orientation, paperwork, benefits administration.
- Maintain Clinicians/Employee records, track all credentials.
- Handle Clinicians/Employee relations matters, responding to inquiries and resolving issues.
- Filling all Clinicians/Employee folders.
- Filling Patients Binders ; Make sure it’s complete and updated.
- Collect and review employee timesheets, ensuring accuracy and completeness, along with their notes.
- Assist with payroll processing, including generation of paychecks or direct deposit files, and ensure timely submission.
- Serve as the point of contact for office-related tasks such as ordering supplies, managing office equipment, and maintaining the office environment.
- Assist with preparation of reports, presentations, and other business documents
- Maintain filing systems (both electronic and physical), ensuring that records are organized and easily accessible.
- Checking Emails and E-fax ; Assigned to designated person.
- Make Admission Packet
- Organized incoming and outgoing mail
- Other duties as assigned
Qualifications
- Home Health Office work experience is a plus.
- Proven experience in an administrative role or as an office clerk is preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Proficiency in using phone systems and handling communications professionally.
- Handle incoming calls and inquiries with professionalism, utilizing effective phone etiquette.
- Excellent computer literacy, including familiarity with office software such as Microsoft Office Suite or equivalent programs.
- Ability to perform data entry tasks with high attention to detail.
- Strong interpersonal skills to foster positive relationships within the team and with external contacts.
- A proactive attitude towards problem-solving and improving office processes is highly desirable.
