Based in beautiful Santa Barbara, CA, this role provides an unparalleled opportunity to work directly with our Director of Operations (DO), who is also the CEO, ensuring seamless crew scheduling, compliance, and operational efficiency.

Key Responsibilities

Crew Scheduling & Duty Compliance

Coordinate pilot and crew schedules, ensuring FAA Part 135 duty / rest requirements are met.
Support SIM scheduling, training programs, and check pilot coordination.
Monitor pilot development, upgrade tracking, and crew pairing efficiency.

Operational & Administrative Support

Oversee KCM badge processing, crew IDs, and PRD / PRIA documentation.

Maintain GOM, SOPs, and training records to ensure regulatory compliance.

Organize and support crew rest area logistics and company orientation sessions for new hires.

Audit Readiness & Documentation

Assist with A031 audits, GTM tracking, and international operations compliance.

Ensure TFSSP, NATA, and off-fleet approval processes are efficiently managed.

Maintain records and assist in FAA and third-party audit preparation (ARGUS, IS-BAO, Wyvern).

Communication & Crew Support

Serve as the primary point of contact for crew scheduling and operational inquiries.

Address crew concerns regarding flight assignments, travel arrangements, and documentation.

Work closely with the Director of Compliance to ensure all crew meet regulatory mandates.

Skills, Knowledge and Expertise

Aviation Operations Knowledge

Understanding of FAA Part 135 regulations, crew duty / rest limits, and compliance standards.

Prior experience in flight operations, dispatch, crew scheduling, or aviation administration is preferred.

Strong Organizational & Problem-Solving Skills

Ability to manage multiple schedules, last-minute changes, and flight logistics.

Detail-oriented mindset with the ability to anticipate and resolve crew-related challenges.

Excellent Communication & Teamwork

Ability to work collaboratively across departments, including CEO / DO, Chief Pilot, and Compliance teams.

Strong ability to communicate clearly with pilots, crew, and operational leaders.

Tech-Savvy & Data-Driven

Proficiency in aviation scheduling software, flight planning tools, and Microsoft Office Suite.

Experience with PRD, Avinode, JetInsight, and other industry platforms is a plus.
