Project Coordinator Job Description
The Project Coordinator’s primary role is to provide administrative support to project managers to help facilitate strong construction administration between the office, field, owners, and architects. In addition, the position also requires performing general office administrative tasks. The position is 40 hours a week with the hours of 7 : 30 am to 3 : 30 pm or 8 am to 4 pm. All work is at the office as there is no remote work option. The successful candidate will have a professional energetic approach to their work, be willing and capable of learning, have strong communication skills and organizational skills, and will be able to work well with people.

- Ideally familiar with Sage accounting software
- Ideally proficient with Blue Beam software
The tasks listed below are part of the job description but are shared with another project coordinator.
1. Provide administrative support for project managers including these tasks :
a. Filing, dictation, ordering materials, returning calls, scheduling meetings, etc.
b. Scheduling meetings and appointments
c. Order materials for projects
d. Prepares purchase orders, invoices, and change orders
e. Prepares and manages project submittals.
f. Manages files to Google Drive for field and clients
g. Prepare Gantt schedules
h. Mark up PDF plans
i. Scan job files to archive
j. Print and distribute weekly job cost
k. Complete close out binders for all construction projects
l. Send out invitation to bid, assemble RFI’s, distribute addenda
2. General office administrative support as follows :
a. Tags and prepares all invoices received via e-mail and snail mail
b. Answer incoming phone calls and responsible for office phone system
c. Updates contact information in Outlook and Sage.
e. Assist with IT support and marketing materials
f. Responsible for company cell phones
g. Has a notary license
h. Handles internal and external mail, Fed Ex, etc.
i. Orders office supplies and maintain service for copier and postage meter
j. Organizes safety meeting agenda, safety logs and Toolbox talks
k. Maintains and secures insurance certificates
3. Performs the following accounting tasks under Controllers oversight :
a. Enters all invoices into Sage
b. Reconciles credit card statements and vendor statements
c. Responsible for certified payroll
d. Filing AP invoices
