We are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to Firm Administrator and Managing Member of law firm. The ideal candidate will possess exceptional administrative skills and a strong ability to manage multiple tasks efficiently. This role is pivotal in ensuring smooth operations within the office, facilitating effective communication, and enhancing productivity.
Responsibilities
- Assist in project coordination by tracking deadlines, preparing reports.
- Preparing important documents such as reports, presentations, marketing materials.
- Client contact.
- Assist with maintaining procedures/administrative systems to enhance office operations.
- Open new files in accounting and document management systems, performs conflict checks, and preparing client status reports.
- Assist with marketing.
- Receives clients and visitors, maintains good public relations with clients; observes confidentiality of attorney-client relationship.
Requirements
- Proven experience in an administrative role with a focus on executive administrative support is preferred.
- Excellent computer literacy with the ability to quickly learn new software tools as required.
- Demonstrated skills in project coordination are highly desirable.
- Exceptional organizational skills with a keen attention to detail to manage multiple priorities effectively.
- Strong verbal and written communication skills to facilitate clear interactions with team members.
- Ability to work independently while also being a collaborative team player in a fast-paced environment.
