We’re looking for a highly organized and detail-oriented Office Administrator to support our janitorial business with administrative tasks, scheduling appointments, inventory management, office organization, and running errands. If you’re a proactive problem-solver with great time management and communication skills, this role is for you!
Key Responsibilities:
- Answer and direct phone calls, emails, and other correspondence professionally.
- Schedule and coordinate appointments and meetings.
- Maintain and update employee records, including hiring paperwork.
- Process invoices, payments, and track expenses.
- Order and manage office and janitorial supplies, ensuring proper inventory levels.
- Conduct regular inventory checks and coordinate with vendors for restocking.
- Keep the office organized, including filing documents and maintaining a clean workspace.
- Run errands as needed, such as purchasing supplies or delivering documents.
- Manage correspondence with clients, vendors, and staff in a professional manner.
- Assist with onboarding new hires, including setting up schedules in BrightGo.
- Prioritize and manage multiple tasks efficiently to meet deadlines.
- Support management with additional administrative and organizational tasks.
Qualifications:
- Prior experience in an office or administrative role preferred.
- Strong organizational and time management skills.
- Ability to handle scheduling, prioritize tasks, and manage multiple deadlines.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and ability to learn new software.
- Excellent communication and customer service skills.
- Ability to work independently and proactively problem-solve.
- Experience in inventory management and office organization is a plus.
- Experience in the janitorial industry is a plus but not required.
- A valid driver’s license and reliable transportation for errands (if applicable).
